We specialize in pairing experienced U.S.-based technical leadership with cost-effective offshore developers to deliver high-quality software efficiently and predictably.This role is critical to helping the CEO stay focused on high-leverage work while ensuring projects, communication, and internal operations run smoothly.Role OverviewWere looking for a highly organized, trustworthy, and proactive Executive Assistant / Project Operations Coordinator to support the CEO across project management, internal coordination, light QA, and administrative responsibilities.This is not a traditional calendar-only assistant role. You will act as an information hub, ensuring accurate project status, surfacing blockers early, and keeping both internal teams and clients informed.Critical thinking, organization, and trustworthiness are paramount.Key ResponsibilitiesProject Management & OperationsMeet daily with developers to:Check progress against deadlinesIdentify blockers, risks, or delaysCollect and summarize actionable updates for the CEOMaintain accurate, up-to-date project tracking in:LinearNotionEnsure project management tools reflect reality, not assumptionsDraft clear, professional weekly project updates for clients, summarizing:Completed workIn-progress itemsRisks or blockersUpcoming milestonesPerform basic black-box QA testing:Click through features built by developersValidate that functionality works as expectedClearly document issues, gaps, or unexpected behaviorTalent & Hiring SupportAssist with sourcing developer contractorsReview resumes and profiles to filter out poor-fit candidatesConduct initial screening and coordination so the CEO only reviews strong candidatesTrack candidate pipelines, notes, and feedbackBusiness Development & Marketing SupportAssist with managing the CEOs social media presenceHelp identify potential new business opportunitiesDraft professional LinkedIn outreach messages and follow-upsOrganize and track outreach effortsAdministrative & Executive SupportManage calendar scheduling and meeting coordinationProduce clear, professional written materials using modern word-processing toolsOrganize documents, notes, and operational workflowsSupport ad-hoc tasks that help the CEO stay focused on strategic workRequired Skills & ExperienceExcellent written and verbal communication skillsAble to communicate clearly, concisely, and professionally with clients, developers, and leadershipStrong professional writing and word-processing skillsComfortable drafting client updates, internal summaries, outreach messages, and documentationExceptional organizational and time-management skillsHigh level of trustworthiness, discretion, and judgmentAbility to synthesize information and surface what matters mostComfortable working independently with minimal supervisionPrior experience in a corporate or professional environmentWorking knowledge of:Spreadsheets (Google Sheets / Excel)Word processing (Google Docs / Word)Common business and collaboration tools (Google Workspace, Notion, task trackers, etc.)Preferred (Nice to Have)Prior project management or operations experienceExperience working with software teams or technical projectsFamiliarity with tools such as Linear, Notion, Slack, or similarExposure to QA testing or product validation (even informal)What Success Looks LikeThe CEO always has a clear, accurate picture of project statusClient communications are polished, timely, and require minimal revisionBlockers are identified early rather than after deadlines slipInternal tools accurately reflect current workThe CEO spends less time chasing information and more time solving meaningful problemsCompensationCompetitive, market-aligned compensation for a -time employeeFlexible schedule with a focus on outcomes, not clock-watchingOpportunity to grow responsibilities as the company scalesEstimated salary range: $40,000 to $50,000 per yearEligible for benefits (health, dental, etc.) recblid gvge7v284hc17ht3vnxvpkswronkrg
