Thank you.Position SummaryThe Events & Logistics Sr. Coordinator supports the planning and execution of Tigerlily Foundations in-person, virtual, and hybrid events. This hands-on role coordinates event logistics, travel, vendor support, shipping, and materials management, including print production, inventory tracking, and fulfillment. The role works closely with internal teams to deliver events on time and in alignment with approved plans, sponsor commitments, and brand standards.Key ResponsibilitiesEvent Coordination and ExecutionSupport planning and execution for a high-volume annual events portfolio (community events, sponsor deliverables, tour events, gala, policy events, conferences, webinars, 5K).Maintain event timelines, run-of-show documents, and logistics plans.Support registration workflows, attendee tracking, and event communications using approved messaging.Coordinate speaker logistics and support day-of execution for select events (on-site and virtual).Identify logistical risks early and escalate to leadership.Travel, Vendors, and Budget SupportCoordinate travel logistics for staff, speakers, and contractors.Support vendor coordination (venues, AV, catering, transportation, print, shipping) under leadership direction.Support invoice submission, expense documentation, and internal budget tracking.Materials, Print, Inventory, and FulfillmentCoordinate print production timelines and vendor communication.Pack, ship, track, and fulfill materials for events and partner needs nationwide.Maintain inventory tracking and support storage unit organization in Chantilly, VA.Assist with periodic inventory checks and reorder notifications.Operations SupportMaintain event templates, checklists, calendars, and documentation.Support contract routing and vendor documentation workflows.Contribute to process improvements in partnership with leadership and cross-functional teams.Qualifications5 to 7 years of experience in event coordination, production, or logistics (nonprofit experience preferred).Experience supporting in-person, virtual, and hybrid events.Strong organization, attention to detail, and ability to manage multiple deadlines.Comfortable with hands-on execution, including packing, shipping, and on-site support.Strong vendor coordination and communication skills.Ability to travel 15 to 20% and work some evenings and weekends based on the event calendar.Ability to lift and transport event materials.Experience with tools like Outlook, SharePoint, Monday.com, Eventbrite, and shipping platforms preferred.Location Requirement NoticeTo be considered, applicants must reside in the DMV area and be available to travel as needed to support local and national events.This is a work-from-home position.
