JOB DETAILS: Position: Executive Assistant Job Type: Temp/Contract Shift: MondayFriday | 40 hrs/week | 8:00 AM 4:30 PM Location: Boston, MA 02115 Job Summary: Provides high-level administrative and operational support to the Neurology Chief Administrative Officer while coordinating a medical student clerkship program within a fast-paced academic medical environment. Requires strong project management, advanced Microsoft skills, and use of electronic systems to track multi-stakeholder tasks over weeks to months. Key Responsibilities: Executive Assistant Provide senior administrative support to the CAO including calendar management, meeting coordination, presentations, and long-term planning. Track departmental projects, create agendas/minutes, monitor assignments, and ensure deadlines are met. Serve as payroll delegate processing weekly timesheets (80100). Coordinate faculty recruitment lifecycle (postings, offers, onboarding/offboarding, HR systems, credentialing, payer enrollment). Manage physician onboarding across sites including system access, badges, scheduling, and orientation. Coordinate office space planning, moves, facilities requests, inventory, and vendor communication. Maintain shared resources (OneDrive/SharePoint) and departmental documentation. Support faculty administrative processes including appointments and rank tracking. Manage annual compliance tracking (flu, fit testing, trainings, reporting). Clerkship Coordinator Coordinate logistics for medical student rotations (46 students/month). Manage onboarding requirements (Workday, health clearance, Epic training, IT access, badges). Serve as primary contact for students during rotations including orientation, scheduling, and support. Maintain Canvas course content and communications. Manage evaluations (OASIS/BLUE), track completion, and coordinate feedback sessions. Ensure compliance with academic calendars, policies, and documentation. Requirements: Bachelors degree preferred. 58 years related experience required (academic healthcare strongly preferred). Executive Assistant and/or program coordination experience required. Strong project management and organizational skills. Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint, Access) and web-based systems experience. Excellent communication and multitasking ability.
