Summary: This position provides secretarial and administrative support for Distribution. On a daily basis you will interact with all levels of management, employees, and external parties. The desired candidate will be highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment. This is an in-office work environment based out of our Downtown Fort Worth Corporate Office, and you will be required to report to the office 5 days a week. Key Roles & Responsibilities Provides administrative support to Directors and additional management staff and provides backup support for Senior/Executive Administrative Assistants Processes invoices, expense reports, job orders, and travel and purchase card statements using various business applications Coordinate multiple job assignments including reports, presentations, newsletters, and special projects, using various software and business applications Utilizes available resources for optimum efficiency, sets priorities, and organizes work to ensure assignments are completed on time Maintains and applies working knowledge of Company and business unit policies, practices, and procedures Performs all essential aspects and functions of the job as well as any other specific job requirements Maintains calendar(s); coordinates meetings; and schedules conference rooms and equipment Processes invoices, maintains department files and records, distributes mail, and other tasks as assigned Generates correspondence such as letters and memos with general direction Gathers, compiles and summarizes information for various special projects and conducts special studies as required Coordinates travel arrangements, orders and stocks office supplies for several groups Initiates, compiles and prepares various weekly/monthly/quarterly reports timely and accurately Coordinates and organizes meetings and other department activities Documents minutes of meetings, capturing action items and individuals responsible for the action items and forwards to attendees Supports contact center by performing quality audits and supporting storm needs Manages the establishment, extensions and terminations of contact center agents Skills Ability to communicate directly, specifically, and constructively, both verbally and in writing Ability to handle confidential and sensitive issues Expertise in managing general office administration Knowledge in Microsoft Word, Excel, PowerPoint, and Outlook Capacity to multitask supported with the ability to set priorities and execute judgement Education and Experience High school diploma, GED, or equivalent is required 5 or more years of experience in administrative support functions are required An associate or bachelor's degree are encouraged to apply Measures of Success Requires minimal supervision Produces desired results with speed and accuracy, minimal rework required Gains the respect, confidence and trust of others, proactive team player Manages time and priorities effectively Utilizes available resources to achieve optimal efficiency Applies working knowledge of Company and business unit policies and procedures Applies knowledge of internal systems and software Manages workload to achieve deadlines Demonstrates an ability to pay attention to detail in creating letters, reports, proposals, and presentations Provides consistency with team members in contact center quality reviews Ability to learn new systems and tools as needed to perform work functions Benefits At Oncor, we offer a comprehensive set of benefits, compensation and performance management programs designed specifically to attract, retain, motivate and reward our high-performing workforce.
