Administrative Support Specialist Osceola County is offering a full-time position with a salary of $58,614.40 annually in Kissimmee, FL. The position is within the BOCC AND COUNTY MANAGER department and the requisition number is 02863. The application process is continuous. This position performs highly complex and specialized administrative support duties for the County Commission and County Manager's Office. The employee is required to exercise extensive initiative and independent judgment, and to work effectively with the public, County officials, and others. Essential Job Functions The essential functions include: Acting as a liaison and problem-solver between residents and the assigned County Commissioner. Maintaining a calendar of activities, meetings, and various events for the assigned County Commissioner; scheduling meetings and coordinating activities with other County departments and groups, the public, and outside agencies; attending meetings and events as required. Providing travel coordination; making appropriate conference, airline, and hotel reservations; preparing travel advance requests and travel reimbursement forms. Assisting in resolving problems and concerns involving other government agencies. Planning, coordinating, and attending commission districts' events. Preparing and monitoring agenda items. Performing a variety of highly complex and specialized administrative functions, e.g., analyzing data, typing, reports processing, documentation verification; gathering, interpreting, and preparing data for studies, reports, and recommendations; providing information to the supervisor. Reviewing correspondence and answering written inquiries relating to the status of certain office functions; reporting issues as needed. Receiving telephone inquiries and concerns, ascertaining the nature of the call, and either resolving it personally or directing it to the appropriate individual or department. Generating various highly complex and specialized correspondence, articles, memos, agendas, orders, reports, forms, manuals, or other relevant materials and generating material for public speaking engagements and official correspondence. Performing duties as assigned/necessary which are related or logical in assignment to the position. Minimum Qualifications Education: Associate's Degree in Business or Public Administration, or closely related field. Experience: Eight (8) years progressive experience in administrative/secretarial support to executive functions; or four (4) years administrative support in an office environment plus eight (8) years experience in an administrative support role to an executive-level position. Miscellaneous: Must possess and maintain a valid Florida's Driver's License. Knowledge, Skills and Abilities The position requires: Extensive knowledge of modern records management techniques; skill in planning, organizing, and coordinating schedules, meetings, and travel arrangements. Extensive knowledge of the principles and practices of modern public administration. Ability to understand and follow written and oral instructions. Extensive experience in researching problems/issues, the exercise of judgment and discretion in presenting recommendations and solutions. Ability to communicate effectively verbally and in writing. Skill in establishing and maintaining effective working relations with all levels of management, employees, other departments, officials, and the general public; skill in the principles and techniques of customer service skills. Skill in preparing highly complex correspondence, summaries, and reports in a clear and concise manner; skill in business English, e.g., correspondence formats, spelling, punctuation, and grammar. Skill in performing routine mathematical computations and tabulations accurately and efficiently. Skill in typing 65 WPM. Extensive ability to access, operate, and maintain various software applications, especially Microsoft Office. Demonstrated ability to operate basic office equipment e.g., computer terminals, printers, copy machines, telephone systems, facsimile machines. Skill in reading, updating, and maintaining various records and files; skill in complex administrative support functions, e.g., records maintenance, data analysis, reports processing, documentation proofing. Physical Demand: Light. 20 pounds maximum lifting. Frequent (up to 2/3 of work time) lifting, carrying up to 10 lbs. If less lifting is involved, will require significant walking/standing. If mostly sitting involved, will require push/pull on arm or leg controls. Expressing or exchanging ideas by spoken word or perceiving sound by ear. Good eyesight for production or safety of self and others. Required to have clear vision at 20 inches or less. The County offers Short-Term and Long-Term Disability at 60% of the employee's weekly base salary. The employee has the option to purchase an additional 10% coverage. Employee Wellness Program: Employee Wellness Program promotes a variety of activities to encourage total well-being including physical, emotional, and financial health. Rewards can be earned. Employee Health Center: The County provides a private health center for County Employees and eligible dependents. The Employee Health Center offers an array of primary care services, including sick visits, enhanced by x-ray services, pulmonary tests, lab work, and a dispensary offering over 200 generic medications onsite. Services at the Health Center are offered at no cost to the employees and their eligible dependents. Employees who are enrolled on the County's Medical plan have access to the Employee Health Center on day one of employment. The Health Center is available to patients 8 years of age and older.
