Overview A leading international law firm is seeking an experienced Legal Secretary to provide comprehensive administrative and practice support to attorneys and legal teams. This role ensures efficient workflow, adherence to firm policies and procedures, and the delivery of high-quality client service. The Legal Secretary will manage a wide range of transactional and litigation support responsibilities while maintaining strong professional relationships with attorneys, staff, clients, and external partners. Responsibilities Legal Document Preparation & Case Support Type, format, edit, and finalize correspondence, memoranda, and standard legal documents in accordance with firm formatting standards. Prepare and review pleadings, briefs, motions, discovery requests, contracts, and transactional documents, ensuring accuracy and compliance with applicable court rules. Assist with electronic filing in state and federal courts. Support attorneys during pre-trial, trial, and post-trial stages as needed. Transactional & Client Support Assist with transactional matters such as contracts, mergers, and acquisitions by preparing legal documents, managing calendars, and coordinating communication between attorneys and clients. Manage onboarding of new clients, including conflict processing and billing setup, in collaboration with firm departments. Maintain client files and materials in the firm's document management system and other electronic repositories in accordance with records management standards. Administrative & Workflow Management Manage multiple attorney assignments and organize clerical workflow to meet firm and client needs. Coordinate conferences, meetings, appointments, and travel arrangements, including air, hotel, and ground transportation. Schedule conference rooms, coordinate remote meeting logistics, and arrange catering as needed. Receive and screen telephone calls, manage conference calls, and coordinate audio/video meeting platforms. Process incoming and outgoing mail promptly and distribute appropriately. Billing & Timekeeping Enter, proofread, and post attorney time entries, ensuring compliance with client billing requirements and firm policies. Coordinate client billing with internal billing services as directed. Process travel expenses and support billing-related administrative functions. Collaboration & Office Support Provide assistance to other team members as needed to meet firm and client deadlines. Work cross-functionally with firm departments to complete assignments efficiently and accurately. Maintain a clean, safe, and organized work area. Perform additional related duties as assigned. Qualifications Required Education & Experience High school diploma or GED required. Five or more years of related legal secretarial experience or equivalent combination of education and experience. Thorough working knowledge of Microsoft Office (Outlook, Word, PowerPoint, Excel). Strong understanding of legal terminology and document formatting standards. Typing speed of at least 60 words per minute. Thorough understanding of civil litigation discovery and docketing processes. Experience with state and federal court filings, including ECF. Experience collaborating effectively with legal support staff and attorneys. Preferred Bachelor's degree. Strong organizational skills and attention to detail. Sound judgment and professionalism. Strong interpersonal communication skills. Strong analytical and problem-solving abilities. Ability to work harmoniously and effectively with colleagues and clients. Ability to maintain confidentiality and exercise discretion. Ability to work under pressure and manage multiple projects with competing deadlines and priorities.
