Elite Maintenance & Tree Service (EMTS) is a professional landscape management company that maintains landscapes and irrigation systems for commercial properties. We continue to celebrate over 30 years of business since the establishment of what began as a small home-based landscape maintenance company in 1987. EMTS is looking for an Elite Administrative Assistant in the Ceres CA office. GENERAL JOB SUMMARY The Administrative Assistant is responsible for the daily tasks of the remote branch performing clerical duties necessary to accommodate the customer, vendor, and branch personnel. The Administrative Assistant will work with the branch manager to assure branch deliverables are accurate and met in a timely manner. Assist in Preparation of Bid Proposals including Mapping 2. Account Payable and Accounts Receivable Entry 3. Assisting HR department in Onboarding Employees 4. Timecard entry/review 5. Communication with customers and project manager 6. Customer service 7. Assist supervisor as needed REQUIRED KNOWLEDGE, SKILLS AND ABILITIES 1. Bi-lingual: Fluent in Spanish speaking, writing and reading required 2. Ability to work independently with little on-site direction 3. Proficient Microsoft Office Suite, Strong Excel skills 4. Familiar with basic accounting and payroll practices 5. Effective listening skills and ability to understand expectations of tasks to be performed 6. A positive attitude when faced with challenges 7. Work in an organized and proactive manner 8. Effective and professional communication skills; verbal and written 9. Detail oriented, able to multi-task and be flexible without supervision 10. Work cooperatively and collaboratively both, independently and as part of a team (team oriented) EDUCATION AND EXPERIENCE At least a High School Diploma or GED required and a minimum 2 years of experience working in an office setting, preferably in an administrative or clerical role in the construction industry and/or a related field. Specific vision abilities required; including close vision, depth perception and ability to adjust focus CORE AREAS OF RESPONSIBILITY Administrative Duties 1. Assist branch manager in the creation, scheduling and completion of projects within the landscape software. 2. Review, reconcile and submit weekly time reports for payroll. 3. Maintain customer required software systems; work orders, communication and invoicing. 4. Support headquarters with data entry into accounting software for accounts payable and accounts receivable invoices. 5. Assist account supervisors and branch manager with customer service. 6. Perform administrative support tasks, including updating and sorting files, drafting and proofreading correspondence, conducting research, filing, typing, copying, binding, scanning etc. 7. Carry out necessary HR tasks to accommodate headquarters needs. 8. Supports team by performing tasks related to organization and strong communication. 9. Assist in the preparation of regularly scheduled reports using excel. 10. Monitor and manage inventory of office supplies; order and distribute office supplies as necessary. 11. Other duties as assigned by supervisor.
