SUMMARY: The Administrative Assistant is an integral part of the project team who plays a key support role in assisting the administrative and clerical tasks to successfully close a project. Primary duties include compiling closeout documentation for distribution to customers upon completion of projects. The Administrative Assistant will perform scanning and archiving of project documentation that returns from the jobsite upon completion of installation in electronic format and paper as requested. This is a nonexempt position that is an individual contributor. ESSENTIAL DUTIES AND RESPONSIBILITIES: Prepare closeout documentation for distribution to customer upon completion of installation, which involves copying, scanning, and archiving of plans. Capture field documents in both physical and electronic format based on project requirements by breaking down folders and scanning or copying files. Create Adobe PDF's and update Excel spreadsheets in a timely manner based on project requirements. Purchase and track extended warranties for solar system hardware and roofing products. Utilize internal systems, such as, Task Ray and Box to obtain project information. Perform accurate data entry to ensure the project management platform is accurate and up to date, for immediate areas of responsibility, on all assigned projects. Show understanding of status on current projects and workload to assist other departments as needed and perform special projects upon request. Perform overtime work as required and requested by supervisor to meet department and company needs. Key 30, 60, 90 Day Accomplishments: First 30: Familiarize self with BEHE processes and timelines, be able to work independently on multiple projects First 60: Manage workflow, tasking, administration and coordination effectively First 90: Fully trained, proficient in all assigned responsibilities, able to efficiently manage workload EXPERIENCE, EDUCATION: High school diploma or general education degree (GED) is required, some college preferred 1+ years of administrative experience is required (clerical, data entry) Proficient on computer and basics of MS Suite (Excel, Word, Outlook, Adobe Acrobat, etc. PAY TRANSPARENCY: The starting salary for this opportunity range is listed.
