Ministry Description: The Communications & Safe Environment Coordinator serves as the central hub for parish communication. This role ensures that the mission, liturgical life, and outreach efforts of JP2 are clearly and consistently communicated to students, families, volunteers, and the broader community. Through the weekly bulletin, digital messaging, website updates, seasonal publications, and event promotion, this position helps parishioners stay informed and engaged in the life of the Church. Effective communication strengthens participation in the sacraments, increases involvement in ministries, and supports the overall vitality and growth of the parish. Principal Accountabilities: St. John Paul II Catholic Church & Campus Ministry (JP2) is seeking a qualified and detail-oriented Communications & Safe Environment Coordinator to support the parish's operational, compliance, and communication needs. This position plays a critical role in maintaining diocesan Safe Environment standards, managing parish-wide communications, coordinating key events, and supporting administrative functions. The ideal candidate will possess a college degree, demonstrate professional experience in communications or administration, and have a strong understanding of parish life. Communications & Publications Produce and manage the weekly parish bulletin. Prepare Sunday Prayers of the Faithful and pulpit announcements. Develop seasonal publications (Advent and Lent booklets). Create parish newsletters and event flyers. Maintain parish website updates and digital communications (Flocknote). Update and organize parish and campus ministry calendars in Breeze. Coordinate communication needs with ministry leaders. Prepare printed materials for daily and weekend Masses. Event & Fundraising Support Assist in planning and executing the annual JP2 Gala. Manage the iGiveCatholic campaign. Coordinate the Advent Party and Corpus Christi Procession logistics. Support parish initiatives such as the Loreto House Giving Tree and Lenten Food Pantry. Assist with feast day preparations and parish-wide liturgical celebrations. Safe Environment Safe Environment Coordinator establishes, develops, maintains, and updates filing systems (hard copy and electronic). Collaborate with facilitator. Prepare packets, coordinates materials needed, signup sheets and opening/closing of training room. Collaborate with the Business Manager to communicate Human Resources and/or Safe Environment policies and procedures to the parish. Assists with updating VIRTUS and preparing for audit. Notifies volunteers, via email, phone, and/or direct mail when their Safe Environment training date is within 60 days of expiration. Conducts routine monitoring of reports to ensure volunteers are current with the Safe Environment requirements for their ministry. Coordinates the Parish Safe Environment Program with the Diocesan Safe Environment Office staff. Ensures the electronic scanning and filing of all hard copy records. Other duties as assigned by the Pastor and/or Business Manager Administrative Duties Manage Mass intentions scheduling and records. Coordinate weekend and daily Mass lectors. Maintain parishioner registration records. Provide front desk and phone coverage as needed. Supervision Given and/or Received: Received: moderate supervision given to this position from Parish Pastor, Business Manager and/or Deacon Given: this position provides feedback and guidance to the Parish Administrative staff, volunteers, and/or vendors upon advice and consent of the Parish Pastor Internal Contacts: Diocese Pastors, Priests, Business Managers, and employees. External Contacts: Diocese parishioners, vendors, local, state, and federal agency representatives, and auditors. Working Conditions and/or Physical Requirements: This position works in a typical office environment but is subject to stress due to the evolving and quickly expanding needs of the Diocese, tight deadlines and moderate workloads. Ability to sit and perform computer work for lengthy periods of time. Able to access and maintain centralized departmental files. Involves extending arms and reaching files stored in multiple levels on shelves, climbing up a stepladder to access files. Ability to accept work interruptions while remaining focused on duties. Data entry via computer keyboard requires repetitive and frequent hand and wrist movements. Ability to lift up to 35 pounds without assistance and up to 60 pounds with assistance. Travel Requirements: Infrequent travel, by car, may be required to Catholic Diocese, diocese Parishes and/or schools. Education and Experience Preferred: Practicing Catholic in good standing with the Catholic Church. Bachelor's degree (Communications, Business, Ministry, or related field preferred). or equivalent years' experience. Minimum 1-3 years of relevant professional experience in communications, administration, nonprofit, or parish ministry settings. Previous volunteer management and/or database management, experience preferred. Knowledge and Skills Preferred: Excellent communication and presentation skills. Excellent time management skills. Proficient computer skills, including Microsoft Office Suite (Word, Excel, Power Point, Outlook). Experience with Canva, Flocknote, Breeze, or similar parish management systems preferred. Willingness and ability to learn how to effectively use parish software. Demonstrated competency in theology and catechetics. Detail oriented and organized. Demonstrated ability and willingness to learn. Demonstrated history of good judgement. Demonstrated aptitude for adaptability and flexibility. Demonstrated ability to skillset to listen empathetically, make peace, and de-escalate. Ability to honor and maintain confidentiality Ability to receive, understand, retain, and complete verbal and written tasks. Ability to work independently as well as in teams. Ability to provide excellent customer service and work efficiently with staff, clergy, religious, and laity. Ability to work well with people from a diverse variety of audiences. Willingness to work occasional evenings and weekends for parish events as needed. Successful completion of diocesan background check and Safe Environment certification. Bilingual (Spanish/ English) is highly desirable, but not required. FLSA Designation: Non-Exempt, FT, 40 hours per/wk, Onsite. M-F 8:30am-5pm (Occasionally different schedule as needed. No overtime for this position.)
