Job Duties: The County Admin Support Specialist II performs a variety of secretarial or administrative duties involved in the operation of an office, department or unit; applies written and unwritten policies to perform varying tasks that have significant impact on the operation of the office, department or unit; uses knowledge of operations, programs and general office procedures to make decisions concerning processing of information and materials. Performs routine and advanced clerical support. Makes appointments; screens calls and ensures messages are clear and precise; routinely compiles staffing, IT, office and other information for all program areas, County Director and upper management. Serves as Time Clerk for the agency. Assists staff with leave/time errors; monitors and acts on required reports. Serves as back-up to the HR Liaison. Serves as Safeguard/Security Audit contact. Maintains site adherence to all security requirements and all record keeping requirements. Serves as agency IT liaison. Assists staff with computer issues, submits IT work orders; monitors IT security. Serves as Xerox liaison. Maintains all copiers and network printers with supplies; ensures machines are working properly; submits work orders. Serves as agency liaison with local County Government. Prepares, submits, and follows up on all work orders for building repairs; monitors building security. Receives, opens, stamps and distributes all incoming mail to appropriate individuals. Ensures all SNAP/FI program information received via mail is scanned and processed into SCOSA appropriately. Prepares the Daily Cash Logs and DSS 1111 Receipts for incoming checks and cash. Coordinates trainings, meetings, workshops and Multi-Disciplinary meetings for Human and Economic Services. Takes minutes of meetings, types and composes minutes for distribution. Serves as back-up to Lobby Receptionist personnel as needed: receives clients applying for TANF and SNAP benefits; explains services and registers applications; assigns caseworkers and scans registered applications in SCOSA; serves as switchboard operator; greets customers at the reception desk, discerns customers' needs and routes them to designated program/caseworker; scans documents into the SCOSA system. Performs emergency disaster management services to include Red Cross shelter duty, coordinating staff shelter assignments and compiling Mass Care and DSNAP information for County Director and upper management. Performs job delivery and/or performance with positive and appropriate customer delivery to clients, the public and co-workers as integral requirement. Performs emergency disaster management services to include American Red Cross sheltering and Disaster Snap duties; performs other related duties as required. Minimum and Additional Requirements A High School Diploma. Related clerical experience may be substituted for a High School Diploma.
