itD is seeking an Executive Administrative Assistant to provide high-level strategic and operational support to a VP-level executive, ensuring seamless business operations and executive effectiveness. This role serves as a trusted partner and organizational anchor-driving calendar precision, travel execution, communication flow, and cross-functional coordination to enable leadership focus and operational excellence. The ideal candidate will bring deep experience supporting senior executives (SVP level preferred) in fast-paced, complex environments and a proven track record of managing dynamic schedules, global travel logistics, and high-visibility executive operations with discretion and precision. Location: Hybrid - Bay Area, CA Pay Range: $37 - 42 (hourly) We provide comprehensive medical benefits, a 401(k) plan, paid holidays, and more. Responsibilities: Partner closely with the VP, Chief of Staff, EA team, and cross-functional stakeholders to ensure operational cadence excellence. Lead complex calendar orchestration, prioritizing high-volume meeting requests from internal and external stakeholders. Anticipate executive needs by proactively managing shifting priorities and staying two steps ahead in a fast-paced environment. Coordinate meeting logistics, including agenda development, pre-reads, action tracking, and post-meeting follow-ups. Manage comprehensive domestic and international travel arrangements, including flights, accommodations, ground transportation, dining, and itinerary planning. Prepare and submit executive expense reports accurately and in a timely manner. Serve as an informal leader and resource for the administrative team supporting the VP. Support executive communications, handle sensitive correspondence with discretion, and contribute to special projects and off-site event planning as needed. Internal Responsibilities: Attend regular internal practice community meetings. Collaborate with your itD practice team on industry thought leadership. Complete client case studies and learning material (blogs, media material). Build out material to contribute to the Digital Transformation practice. Attend internal itD networking events (in person and virtual). Work with leadership on career fast-track opportunities. Required Qualifications and Skills: Minimum 8 years of professional experience in executive administration, including direct support of senior executive leadership (SVP level strongly preferred). Proven experience managing complex, in-flux calendars with significant domestic and international travel coordination. Experience supporting executive management teams and boards in fast-paced, deadline-driven environments. Availability to respond outside normal business hours as needed. Advanced proficiency with Microsoft Office Suite and procurement tools. Experience with SaaS and collaboration platforms (e.g., expense management systems, document management tools, e-signature platforms). Exceptional organizational skills with demonstrated ability to manage multiple priorities simultaneously. Strong written and verbal communication skills. Demonstrated ability to handle confidential and sensitive information with the highest level of discretion. Experience managing small projects and coordinating off-site meetings and executive events. Preferred Qualifications and Skills: Experience partnering closely with a Chief of Staff. Prior experience serving as a lead or mentor within an administrative team. Experience supporting large, cross-functional organizations within complex corporate environments. Education: Bachelor's degree in a relevant field or equivalent work experience required.
