Secretary- Part Time, Provisional (Health Sciences Division Office) SUNY Broome Community College is seeking candidates for a part-time Secretary in the Health Sciences Division office. The Secretary reports to the Health Sciences Office Manager and the Dean of Health Sciences. This position is represented by the ESPA bargaining unit. The appointment is provisional pending satisfactory completion of the Civil Service testing requirement. The part-time Secretary in the Health Sciences Division provides administrative support to the Divisional Chairpersons, supervised under the office of the Dean of Health Sciences. This position provides administrative support for all departments within the Division of Health Sciences as needed, including telecommunications, office supply management, and departmental faculty and student support. Responsibilities include but are not limited to: Serves as one of the first persons of contact for students, faculty, staff, visitors to the building; greets, provides directions, answers questions. Support for students as initial office contact which may include collection of clinical paperwork, and fees and directing students to appropriate contacts/resources. Operates various communication systems such as telephones and computers, and keeps records of such communications. Creates and tracks faculty contracts through the signature process. Creation of forms/documents in Word, PPT, Excel & PDF that meet accessibility requirements (Accessibility training provided). Collects data, takes meeting minutes, prepares agendas and meeting materials under the direction of faculty, chairs and/or the Dean; secures required documentation for various departments within the Health Sciences Office. Assists with all duties as part of student onboarding. May include, scheduling of classes and clinical assignments, registration, scheduling of advising sessions and department orientations. Organization and tracking of office supplies. Provides operational support as part of a team, for the departments under the auspices of the Dean of Health Sciences Office, including but not limited to the following programs: Clinical Laboratory Technology, Dental Hygiene, Health Information Technology, Health Studies, Nursing, Physical Therapist Assistant, and Radiologic Technology. Performs other related duties and assignments as required by the Office Manager and the Dean of Health Sciences. Supports office procedures in the absence of other clerical support team members. Requirements: A)  Graduation from a regionally accredited or New York State registered college or university with an Associate's degree in office technologies, office administration or administrative assistant or closely related field and two (2) years of typing and clerical experience in an office setting which included the use of computer applications to maintain records and produce correspondence; OR B)  Four (4) years of typing and clerical experience in an office setting which included the use of computer applications to maintain records and produce correspondence; OR C)  An equivalent combination of training and experience as defined by the limits of A) and B) above. Must be eligible to work in the United States without a visa sponsorship. Additional Information: The regular hours of this position will be Monday through Friday, 12:00pm to 4:30pm (will be adjusted during Campus summer hours 11:30am to 4:00pm), with some flexibility. With advance notice, hours may be periodically adjusted to meet divisional needs. Appointment will be provisional pending satisfactory completion of the competitive Civil Service testing requirement.   The hourly rate for this position is $22.44.
