Other information: Job Summary The Executive Assistant provides comprehensive operational and administrative support to assigned departments, executive leaders, physician leadership, senior management, and key committees. This role manages complex calendars, coordinates high-visibility events and projects, and ensures accuracy, consistency, and data integrity across all work. Serving as a central liaison between departments, the Executive Assistant supports enterprise-wide communication and performs a wide range of administrative tasks as needed. Success in this position requires sound judgment, the ability to navigate unexpected issues with efficiency, and a polished, professional presence when interacting with internal and external stakeholders. The Executive Assistant must excel at anticipating leader needs, identifying and prioritizing matters requiring attention, and determining when to take independent action or delegate appropriately. A high level of discretion is essential, as the role regularly handles sensitive and confidential information. Strong written and verbal communication skills, along with exceptional attention to detail, are required. Essential Functions Provide executive-level administrative support to assigned departments and leaders, including greeting visitors, managing calls, and directing inquiries appropriately. Plan, organize, and prioritize work independently, coordinating activities and projects in collaboration with the supervisor. Build and maintain effective working relationships with staff, leadership, practitioners, volunteers, and visitors. Perform clerical and administrative tasks such as message handling, mail distribution, dictation, report preparation, copying, and document management. Coordinate meetings and events, including scheduling, reserving rooms, preparing agendas, taking and transcribing minutes, and distributing materials. Maintain accurate files, databases, office manuals, and contracts; ensure all documents remain current and organized. Manage office supplies and forms, ensuring availability and timely replenishment. Support department initiatives, programs, projects, and develop and update standard operating procedures as needed. Use Microsoft word processing, spreadsheet, and presentation software to produce high-quality documents and materials, including confidential correspondence and presentations for leadership and governing bodies. Oversee special projects from initiation through completion, working independently and ensuring deadlines are met. Manage leader schedules, acting as a gatekeeper and liaison to ensure appropriate access and efficient workflow. Research, prioritize, and follow up on issues directed to Executives, determining appropriate actions, referrals, or responses. Communicate on behalf of Executives regarding initiatives and maintain credibility, trust, and support across the organization. Balance competing priorities, handle matters proactively, and ensure thorough follow-through on assignments. Collaborate with other administrative staff to ensure cohesive, timely, and professional support for the Executive Team. Supports timekeeping, trains backup staff, contributes to Quality Process Improvement. Complete all mandatory learning requirements in a timely manner. Attend and actively participate in all department, team and/or committee meetings. Follows all Skagit Regional Health policies and procedures. Performs additional duties as assigned. Education High school diploma or equivalent is required. Associate's degree or other post-secondary education highly preferred. Experience/Training Minimum two (2) years of administrative experience supporting manager/director or executive level leadership required. Experience at the executive level in a healthcare setting preferred. License/Certifications None required. IAAP CAP, PHR, PMP or other applicable certification desirable. Other Skills Strong written and verbal communication skills with a high level of attention to detail. Proficiency with Microsoft Office and the ability to learn new systems and applications quickly. Excellent organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment. Demonstrated judgment, discretion, and professionalism when handling sensitive or confidential information. Strong interpersonal and customer-service skills, with the ability to work effectively with diverse groups across the organization. Physical Demands and Work Environment The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit for long periods of time; when working in office. Repetitive tasks such as typing, sitting, answering phones, and interacting with computers and computer systems most of the day is a function of the position. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to focus. This position requires working in an indoor, environmentally controlled environment when in the office.
