The Part-time Early College Administrative Assistant position provides operational support by maintaining data tracking and reporting systems while assisting the administrative team with office functions. This position requires strong organizational skills and attention to detail. Duties of this position include, but are not limited to: Greet and assist visitors, learners, and employees in a warm, welcoming, and professional manner. Confidentially handle sensitive information. Collect, enter, and maintain accurate data across multiple systems and spreadsheets. Monitor data compliance. Maintain organized electronic records. Generate reports to support administrative and programmatic needs. Summarize data trends and findings in clear, user-friendly formats. Assist with tracking deadlines, deliverables, and action items for administrative projects. Assist with campus events. Organize guest teachers and campus call-outs. Sign in campus visitors via the Raptor system. Place monthly Sam's, District warehouse, and other POs as required. Receive, sort, and distribute the mail and packages following established procedures. Ensure equipment operation by scheduling preventive maintenance, such as calling for repairs; maintaining equipment inventories and supplies; and evaluating new equipment and techniques. Contribute to team effort by accomplishing related tasks as needed. Update all campus-related social media, including Facebook and the school website, with campus highlights and activities. Maintain and update the campus calendar. Clean and organize the employee resource area. Report unsafe campus situations immediately. Reports To: Dean of Early College Development and Operations Required Qualifications: All employees must be fingerprinted and pass a background screening process by the Clearinghouse. Must be able to maintain a positive and welcoming demeanor At least 3 years of proven and dependable administrative experience Must have a high level of professionalism Ability to see a project through completion Ability to work with minimal supervision Knowledge of office management systems and procedures Excellent time management skills and ability to multitask and prioritize work, with strong organizational and planning skills Must possess problem-solving skills and be detail-oriented Strong analytical skills Ability to manage multiple competing priorities and deadlines Excellent written and verbal communication skills Must be proficient in MS Office Ability to work some nights and weekends Must follow established dress code and other school policies
