The Administrative Assistant with Front Desk responsibilities supports daily office operations while serving as the organizations primary first point of contact. This role ensures a welcoming, organized, and efficient environment for employees, visitors, and callers, while providing reliable administrative support across departments.Essential Job Functions:The essential job functions include, but are not limited to the following:Front Desk and Reception      Serve as the primary point of contact for all front desk activities, including in person reception.      Manage incoming and outgoing mail, phone calls, emails, and faxes, ensuring timely routing and follow up.      Maintain a professional, organized, and welcoming reception area.      Perform basic transactions for members, including class and event registrations and membership renewals      Prepare and distribute weekly team calendar meeting correspondence, including agendas, reminders, and updates.      Support staff with scheduling needs and general administrative coordination.      Collaborate with internal teams to ensure smooth event logistics.Administrative Support      Supports projects through scheduling, logistics, and documentation.      Assist with preparations for executive-level correspondence, presentations, and reports.      Registration, payment processing, and participant communication for events, programs, and room rentals.      Part of the core team for Continuing Legal Education classes, including advance preparations, helping during the event, and post-event reporting      Assist with class and event setup and breakdown, including room configuration, materials preparation, and basic on-site support.      Timely entering time out of office into the DSBAs payroll system and communicating about schedule      All positions at the DSBA are required from time to time to work non-standard business hours, including occasional early mornings, evenings and weekends. This position is non-exempt, so overtime pay will apply to any pay period where more than 40 hours are worked for the week, and floating holiday time may be given as well      Perform other duties as assigned and assists other departments as needed Competencies:      Strong interpersonal and customer service skills      Excellent written and verbal communication      High attention to detail, accuracy, and confidentiality      Proficiency with Microsoft Office, Adobe, and legal/office software      Familiarity with programs like Canva, InDesign, Zoom, Teams and SharePoint is preferred      Ability to multitask in a dynamic, front facing environment      Familiarity with legal terminology, document structure, and basic research methods      Professionalism, discretion, and a service-oriented mindsetEducation and Experience:      High school diploma or GED (minimum requirement)      Associate degree in Business Administration, Office Management, Legal Studies, or a related field (preferred but not required)      Minimum of 1-3 years experience and a demonstrated track record of accomplishments      Ability to organize and manage multiple priorities      Proficient in MS Office, specifically SharePoint, Excel, Word, and PowerPoint       Excellent oral and written communication skills      Well-developed presentation skills Physical Demands:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. Reasonable accommodation may be made to enable individuals with disabilities to perform the functions. While performing the duties of this position, the employee is regularly required to talk or hear.
