Lead School Secretary This position performs difficult skilled clerical work preparing and maintaining fiscal and related school records and serving as clerical support. Work is performed under general supervision. Supervision may be exercised over other clerical positions. Essential Job Functions: Serves as primary clerical support to the Principal and staff. Serves as school receptionist. Prepares and maintains files and records. Serves as KRONOS timekeeper and back-up bookkeeper as needed. Assists students and teachers. Issues visitor passes to all who enter school. Reconciles bank statements. Issues purchase requisitions and purchase orders. Prepares and submits teacher absentee reports. Sorts and distributes school mail. Prepares files and records for entering and withdrawing students. Writes absentee and tardy slips; issues passes. Handles a variety of routine technical and administrative assignments. Composes and types letters and memoranda in conformance with school policies or from brief instructions. Sets up and maintains office procedures and filing systems. Meets and screens visitors. Answers telephone and processes mail. Serves as property clerk and maintains inventory records. Assists with scheduling substitutes. Maintains attendance, personnel, and payroll records. Types letters and memos, reports, bulletins, agendas, invoices, schedules, manuals, student files, and records. Maintains payroll, personnel, and KRONOS records. Performs other related duties as required/assigned. Minimum Qualifications: High school diploma or its equivalent. At least four years of experience in clerical work, preferably in a school setting. Knowledge, Skills, and Abilities: Knowledge of standard office practices, procedures, and equipment. Knowledge of school system routine and procedures. Knowledge of business English, spelling, and math. Skill in preparing and maintaining computerized records and systems. Skill in typing accurately at a reasonable rate of speed. Skill in planning and supervising the work of others. Ability to establish and maintain effective working relationships with associates. Ability to work under pressure. Ability to organize and perform work independently. Ability to meet the public effectively. Working Conditions & Physical Requirements: Work environment is primarily inside, where the noise and temperature levels are moderate; the worker is not subject to adverse environmental conditions. This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects. Work requires stooping, kneeling, reaching, lifting, fingering, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels, and to receive detailed information through oral communications and/or to make fine distinctions in sound; visual acuity is required for color perception, preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, use of measuring devices, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities.
