LHA is hiring an Executive Administrative Assistant. The Executive Administrative Assistant serves as a key administrative partner to the Executive Director and Senior Leadership Team, providing advanced administrative, coordination, and organizational support. See job description below for specific qualifications: Essential Job Duties/Responsibilities: Provides administrative support for the Executive Director and Senior Leadership Team Assists Executive Director with schedule management, communications, general organization, etc. Coordinates internal meetings such as All Staff, Management Team, Leadership Team, trainings, etc. Provide Support for Loveland Housing Authority, Loveland Housing Development Corporation, and Aspire board meetings. Prepares and delivers board packets. Coordinates board meeting preparations. Acts as Recording Secretary for all Board and committee meetings. Responsible for the transcription and distribution of monthly Board meeting minutes to all Board members. Schedules required committee meetings with Board members. Schedule conference participation and travel arrangements for Board members. Works closely with Board members on an as needed basis regarding Housing Authority information. Prepares all necessary resolutions for Board approval. Coordinates board vacancies Act as recording secretary for the Windsor Housing Authority Board meetings. Assists with proposals, applications, presentations, and special projects as needed. Prepare Executive-level slide deck presentations. Provide administrative support for Real Estate Development projects. Prepares documents for signature. Prepares and reconciles credit card statements for signature. Create and manage filing systems. Manage various online accounts. Coordinate scheduling of meeting space for external partners. Tenant liaison for the Administration Building. Manage invoicing to/from partner agencies. Assist with travel arrangements for Senior Leadership Team. Supervisory Duties: None Knowledge, Skills, and Ability: Ability to establish and maintain positive, productive working relationships with staff and external partners. Excellent written and verbal communication skills with the ability professionally. Ability to work independently and collaboratively in a fast-paced environment. Ability and willingness to take initiative, exercise good judgement, and make sound decisions within the scope of assigned authority. Ability to prepare, maintain, and manage accurate records. Flexibility and ability to work under pressure with minimal supervision. Proficiency with Microsoft Windows and Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook. Education and Experience: Associates degree or higher required. Bachelors degree highly desired. Notary desired. Minimum of five (5) years of executive-level administrative experience strongly preferred. Drivers License and Background Check: Must possess and maintain a valid Colorado Drivers License with acceptable driving record (no major violations within the past three years) and be insured through Loveland Housing Authority insurance carriers. Criminal history, credit, motor vehicle, and background checks are required. Working Environment: Work is performed in an office environment that may require sitting for extended periods of time, repetitive keyboard motion, reaching, bending, and kneeling. Light physical effort may be required by moving and positioning objects up to 20 pounds occasionally and/or 10 pounds frequently. This position is designated as on-site and requires regular physical presence at the assigned work location to perform essential job functions.
