Posting Details Position Information Job Title Customer Relations Specialist Job Description The Customer Relations Specialist is responsible for the coordination, development, and management of customer relations and hospitality services for Walker Center (WCC) events and facilities. This position serves as the primary point of contact for clients booking WCC facilities and oversees aspects of hospitality services, including client solicitation, contract negotiation, event coordination, menu pricing, and communication with internal hospitality staff. The role manages hospitality-related financial functions such as accounts receivable, invoicing, payment tracking, reconciliations, and compliance with applicable regulations. Additionally, the Customer Relations Specialist supports marketing and public relations efforts, maintains hospitality-related digital content, and represents WCC Hospitality Services within the community to strengthen relationships and expand business opportunities. The Customer Relations Specialist works under the direction of the Director of the Walker Center and contributes to the overall success and professionalism of WCC Hospitality Services. Full Time or Part Time Full Time Essential Duties Summary Duties: Responsible for working with all clients booking and contracting for WCC facilities. Responsible for the coordination of WCC Hospitality Services client development including solicitation of clientele and negotiation of contracts, coordination of food service requirements, and communication to Hospitality staff on all details of events. Responsible for WCC Hospitality Accounts Receivables including preparing invoices, posting invoices, receiving payments, and deposits to designated spreadsheets, as well as monthly reconciliations of spreadsheets with WCC Business Office. Follow up with clients regarding payments and deposits that are due. Responsible for all payroll and associated reports for hospitality and events. Responsible for keeping Hospitality Services in compliance with ABC regulations. Serve as the marketing and public relations arm for WCC Hospitality Services. Monitor Hospitality web site keeping menus and photos up to date. Attend Walker Events as needed and lead in audience relations as directed by the supervisor. Maintain the events calendar for all Hospitality-related WCC Events campus wide. Responsible for monthly usage reports. Responsible for monthly scheduling of Kitchen Cleanings, HVAC Overrides, WCC Garden plant needs, and WCC Hospitality events to WCC Police and appropriate staff. Responsible for working with the chef to price all menus and keep menu options and pricing competitive and profitable. Serve on community organizations as determined by the supervisor to build relationships and develop banquet and convention business for WCC Hospitality Services. Responsible for all MerleFest Hospitality details, including delivery schedules, hospitality part-time staff rosters and contracts, meal count reports, menu planning, including outsourcing, and time sheets, etc. Responsible for customer relations aspects of MerleFest as assigned by Director. Other duties as assigned by the Director. Required Qualifications Minimum of anAssociate's Degree Preferred Qualifications Five (5) years of experience working in marketing, public relations, or client development is strongly recommended. Physical Demands The Customer Relations Specialist works in a combination of office, event, and hospitality environments. Work is performed in a standard office environment during regular business hours; however, responsibilities also require presence at hospitality functions, Walker Center events, campus-wide activities, and major events such as MerleFest. Frequent interaction with clients, staff, and vendors in person, by phone, and electronically. Work involves managing multiple priorities and meeting deadlines in a fast-paced, service-oriented environment. Work is primarily performed in an office environment with regular use of computers and standard office equipment. Travel, early morning, evening, and weekend work may be required. Regularly required to sit for extended periods while performing administrative tasks such as computer work, data entry, invoicing, scheduling, and report preparation Frequently required to stand and walk during on-site events, meetings, facility walkthroughs, and hospitality functions Occasionally required to bend, stoop, reach, kneel, or crouch while coordinating events, reviewing setups, or interacting with hospitality staff Must be able to communicate effectively in person, by telephone, and electronically May occasionally lift, carry, or move items such as event materials, files, or supplies weighing up to approximately 25 pounds Requires sufficient visual acuity to review documents, contracts, spreadsheets, menus, and computer screens May require extended or irregular hours, including evenings, weekends, and special events (e.g., MerleFest), which may involve prolonged standing and walking Navigate indoor and outdoor event environments, which may include stairs, uneven surfaces, and varying weather conditions.
