Job DescriptionPosition Title: Program Assistant (Full-Time)Location: East Providence, RICompany: BH LinkRoles and Responsibilities: Coordinating incoming and outgoing mail. Representing the company and associated programs in relevant agency committees. Coordinating with maintenance and IT departments to submit necessary tickets. Track appliance upkeep and other routine facilities needs. Assist the program in meeting requirements related to fire code and licensing regulations. Support recruitment processes including scheduling interviews, completing reference checks, tracking applicants, and administrative onboarding of new employees. Assisting in the review and submission of employee timesheets. Organizing and aiding in processes related to coverage schedule and time-off requests during regular business hours. Creating and maintaining administrative resource guides as needed. Coordinating and assisting in staff appreciation and quality of life initiatives. Tracking staff trainings and other relevant personnel credentialing. Scheduling meetings and taking minutes. Completing purchase requisitions on behalf of the company and associated programs. Tracking and maintaining program inventories including groceries, paper materials, office supplies, medical supplies, etc. Coordinating with various agency departments (finance, HR, payroll, etc.) as needed. Submitting incident reports completed by clinical personnel of the program. Providing administrative assistance during licensing and accreditation reviews. Collaborating with other members of administrative and leadership teams of the crisis center. Providing additional administrative support across the program, as needed. Experience and Education: Associates degree or equivalent experience in healthcare administration. 2 years of administrative support preferred. Proficient with Microsoft products and platforms.
