The Executive Administrative Assistant performs administrative duties for SVP Global Capability Network (GCN) and the GCN leadership team. Location: Nashville, TN 37203 Shift: 8:00 AM 5:00 PM, expected responses after hours on occasion for urgent matters Pay: $31.00 Per hour. Responsibilities: Manage SVP and VPs calendar, schedule meetings/events on their behalf and assist in coordination of various department meetings/events. Help draft, proofread and send communications on behalf of the SVP to both internal and external stakeholders. Serve as primary contact for the SVP and assist with meeting planning, including making arrangements for meeting rooms, refreshments, AV equipment, etc., as needed, and facilitate inquiries into department by all constituents. Maintain master copies of agreements, contracts, funding memos. Facilitate approval process. Manage recurring meetings and events including Weekly Tactical Meetings, All Hands Calls, facilitate agendas, distribution. Develop and maintain accurate organizational charts, team/directors/lists, including addresses (email & physical), phone numbers, etc. Report PTO timely for all non-VP team members Arrange all leader travel as needed, coordinate with other administrative assistants on group travel, including booking and creating itineraries, including extensive international travel. Prepare expense reports in a timely manner. Provide guidance to and ongoing engagement with the administrative assistant team in the department. Assist the VPs with approvals, planning and coordination for external meeting requests for the corporate campus; assist with scheduling leaders to speak. Provide general administrative support as needed to VPs in the department, including ordering office supplies, shipping and mailing, making copies, answering phones, delivering mail, drafting and typing correspondence, etc. Practices and adheres to the Code of Conduct philosophy and Mission and Value Statement including maintaining strictest confidentiality. Performs other duties as assigned Education & Experience: High School Graduate/Equivalent Required Bachelor's degree Preferred 5+ years of experience in relevant field or equivalent combination of education and/or experience (e.g., Administrative / Executive Assistant, Project Management) Effective Decision Making: Ability to make timely, informed decisions that are in the best interest of our patients, employees, providers, and community.
