Position Summary The Master Planner / Scheduler is responsible for owning, developing, and driving AES’s integrated project and production schedule across all departments. Reporting directly to the VP of Operations, this role serves as the central coordination point between Sales, Project Management, Engineering, Procurement, Fabrication, and Installation. This position plays a critical role in ensuring realistic timelines, optimized resource utilization, proactive risk identification, financial visibility, and predictable project delivery in a fast-paced custom fabrication environment. Key ResponsibilitiesMaster Planning & Scheduling Develop and maintain the company-wide master schedule Translate project timelines into detailed, resource-loaded production plans Identify capacity constraints, workflow conflicts, and sequencing risks Adjust schedules based on scope changes, engineering releases, and shop conditions Facilitate weekly production planning meetings Operational & Financial Oversight Monitor schedule adherence and production progress Generate labor burn reports and cost-to-complete forecasts Support labor and capacity forecasting Support cash flow forecasting tied to production milestones Evaluate financial impact of schedule changes and recommend mitigation strategies Maintain accurate project status and completion forecasts Cross-Functional Leadership Partner with Project Managers to align schedules with client milestones Coordinate with Engineering to ensure drawing releases support fabrication timelines Collaborate with Procurement on material availability and long-lead items Communicate schedule impacts, risks, and recovery strategies Qualifications 5+ years of scheduling or production planning experience Strong proficiency with MS Project, Smartsheet, Primavera, or similar tools Experience managing multiple complex projects simultaneously Enterprise Resource Planning (ERP) / MRP system experience Capacity planning and resource loading expertise Experience in scenic fabrication, construction, manufacturing, exhibits, or themed environments preferred Strong analytical, organizational, and cross-department communication skills What Success Looks Like Improved on-time delivery performance Reduced production bottlenecks Enhanced labor efficiency and resource utilization Clear financial visibility tied to production milestones Realistic, executable schedules that support growth Why AES Work on nationally recognized, high-profile projects Collaborative, hands-on fabrication environment Direct impact on operational performance Opportunity to help scale a growing organization Competitive compensation and performance-based incentives
