Job Summary TheMedical Receptionist provides essential front-office and administrative supportin a pediatric care environment to ensure smooth clinic operations andhigh-quality patient service. Responsibilities include greeting and attendingto patients and visitors, scheduling and coordinating appointments, managingpatient flow, handling confidential medical records, verifying insurance andpayment methods, collecting payments/copays, performing data entry and generaloffice duties. The role supports the healthcare team, maintains a welcoming andorganized environment, and ensures compliance with HIPAA privacy regulations.Works collaboratively in a team environment and may cross-train to roles suchas triage assistant at the request of the employer. Work in the Chelsea andSylacauga offices as needed. Qualifications Toperform this job successfully, an individual must be able to perform eachessential duty satisfactorily. Preferred: Six (6) months' related experience and/or training in a medical office or equivalent combination of education and experience. Preferred: Completion of a course in Medical Terminology. Willing to attend continuing education courses at the request of the employer. Specific Skills Superior organizational skills, attention to detail, and accuracy. Above-average interpersonal and communication skills: ability to interact pleasantly and professionally with patients, families, visitors, and staff (including dealing with the public and writing professional correspondence via letters or email). Ability to multitask, prioritize, manage multiple tasks, and meet deadlines in a fast-paced environment. Knowledge of medical terminology, procedures, diagnoses, and specialty offices (helpful/preferred). Proficiency in using scanners, fax machines, electronic health/medical record (EHR/EMR) systems, and other office technology. Thorough understanding of HIPAA medical privacy regulations and practices. Ability to work effectively as part of a healthcare team and respond promptly to requests. Duties and Responsibilities Welcomes and greets patients, families, and visitors in person or on the phone in a helpful, friendly, and professional manner; determines purpose of visit/call, answers inquiries, or directs to appropriate person/department. Schedules patient appointments and manages clinic flow based on predetermined arrangements to optimize provider time and patient satisfaction. Performs patient check-in/check-out, registration, and verification of demographics, insurance eligibility, and collects copays/payments as appropriate. Inform patients of any existing balances and prepare them for payments due at time of visit. Confirms next-day appointments by calling patients daily. Handles incoming and outgoing medical records confidentially: scans documents into the correct patient's Electronic Medical Record (EMR). Performs day-to-day administrative functions, including word processing, copying, filing, faxing, and data entry. Maintains neat and organized patient waiting areas, office files, front-desk areas, and reception environment. Reconciles receipts daily and processes billing-related tasks. Exercises utmost confidentiality, privacy protocols, and adherence to clinic policies, HIPAA requirements, quality assurance, safety, environmental, and infection control standards. Assists in care and maintenance of department equipment and supplies, alerts supervisor to any issues. Attends scheduled department staff and clinical meetings. Performs other duties as assigned or required. Physical Demands Light physical effort: frequent lifting/carrying up to 20-30 lbs. (e.g., files, supplies). Regularly exposed to risk of bloodborne pathogens and unpleasant elements (e.g., bodily fluids, odors). Ability to stand/sit for extended periods in a clinical office setting. Hours Fulltime: Monday-Friday 7:55am-5:00pm. Seasonal Saturday clinic hours:8:55am-12:00pm (Chelsea clinic only).
