The Role We are hiring a highly capable, clinic-experienced operations professional who will help run the clinic's day-to-day rhythm and deliver an exceptional patient experience. You will be the first face and voice many patients encounter and a key partner to the physicians and leadership team as we launch and scale. This role is ideal for someone who combines warm hospitality with operational rigor - someone who can keep the front of house polished while also driving reliable execution behind the scenes. Key Responsibilities · Own the front-desk and patient arrival experience: answer phones, greet patients, manage check-in/check-out, and ensure a warm, professional, high-touch visit from arrival to departure. · Coordinate scheduling end-to-end: new patient intake coordination, confirmations, reminders, reschedules, waitlists, and visit preparation to keep the day running smoothly. · Manage patient communications across phone, text, portal messaging, and email with professionalism, discretion, and strong follow-through. · Support patient follow-up: post-visit check-ins, next-step scheduling, routing questions to the clinical team, and closing communication loops promptly. · Maintain accurate patient and operational information in practice systems (EHR/communications tools), including documentation of operational notes and workflow updates. · Help optimize workflows and systems: identify opportunities to improve patient flow, communication consistency, and operational efficiency as the clinic scales. · Manage supplies and inventory: maintain par levels, place orders for office and medical supplies, receive shipments, and keep storage organized and audit-ready. · Support clinic readiness and environment standards: ensure the space is tidy, stocked, quiet, and aligned with the Metriq brand experience throughout the day. · Execute core office operations: opening/closing procedures, scanning/filing, mail, vendor coordination, and general administrative support. · Support light launch and growth initiatives as needed (for example, operational support for new workflows, patient education materials, and patient experience enhancements). · Adhere to HIPAA/privacy standards, SOPs, and internal protocols; escalate operational issues or patient concerns appropriately and promptly. Qualifications Required · 2+ years of experience in a clinic or medical office setting (front desk, patient coordinator, medical assistant, concierge practice, or similar patient-facing operations role). · Excellent communication skills (verbal and written) with a warm, calm, polished, and professional presence. · Strong organizational skills and attention to detail; able to manage schedules, supplies, and follow-up tasks without dropping details. · High ownership and reliability; proactively sees what needs to be done and executes without constant direction. · Comfort handling sensitive information with discretion and working within HIPAA/privacy standards. · Comfort with technology and ability to learn new systems quickly (EHR/CRM, email, spreadsheets, patient communication tools). · Ability to work on-site during the expected clinic schedule and support a Saturday clinic day. Preferred / Nice to Have · Experience in concierge medicine, longevity, hormone optimization, OB/GYN, endocrinology, or specialty clinics with high-touch patient expectations. · Experience in a cash-pay clinic model or strong comfort working in a patient experience-focused practice environment. · Experience with OptiMantra or similar EHR platforms; comfort coordinating lab workflows and referrals. · Interest in health optimization and a genuine desire to help patients feel better and perform at their best. Compensation and Benefits Title: Patient Experience & Clinic Operations Coordinator (posting may also reference Medical Front Desk / Patient Coordinator / Clinic Operations to improve search visibility). We aim to pay competitively for experience and capability, with a target range of approximately $28-$34 per hour, with potential for performance-based upside as we grow.
