Job Description: The Contracts Specialist provides administrative and operational support across contract administration, insurance, corporate compliance, and records management. Reporting to the Contracts Manager, this role supports day-to-day contract tracking, documentation, and compliance activities while coordinating with internal stakeholders and external consultants. This position is execution-focused and well-suited for a highly organized, detail-oriented professional who can manage multiple deadlines, systems, and priorities with minimal supervision Duties and Responsibilities: Performs contract and subcontract administration and management pertaining to prime Government contracts and subcontracts. Prepares, reviews, issues, maintains and administers company purchase orders. (including POs in the $50k-$200k range) in accordance with company policies and contractual requirements. Maintain and update contract trackers for all awards and contract actions, including prime contracts, subcontracts, modifications and amendments. Track, log and coordinate contract-related requests from internal stakeholders. Monitor contract compliance with internal policies, prime contract requirements, subcontracts, and customer directives. Coordinate contract documentation, status updates, and recordkeeping with Contracts leadership. Monitor system alerts to ensure timely action on deadlines, renewals, deliverables, and compliance requirements. Maintain centralized, organized contract files and accessible document management system. Build and maintain a structured database of corporate, contract, and compliance records, identify and resolve missing or outdated documentation. Assist with development, standardization, maintenance of company contract, and compliance records; identify and resolve missing or outdated documentation. Assist with development, standardization and maintenance of company contract templates and forms. Support insurance-related contract compliance requirements, including maintaining Certificates of Insurance (COIs) as required by customers and prime contractors. Manage tracking of renewals, reporting requirements, and other contractual deadlines. Assist with preparation of contracts-related reports and internal presentations. Qualifications: Minimum three (3) to (5) five years' experience working in a Contract Specialist, Contract Administrator or Related Legal or Insurance environment. Working knowledge of Department of Defense (DoD) contract administration. Foundational knowledge of the Federal Acquisition Regulation (FAR) and applicable supplements. Strong organizational skills with exceptional attention to detail. Ability to work effectively in a dynamic, fast-paced work environment. Proficiency with Microsoft Office Suite (MS Word, MS Excel, PowerPoint) and experience working within SharePoint. Preferred Qualifications: Bachelor's degree in business administration, Accounting or Finance, Management, Purchasing, Economics, Industrial Management, Marketing or related degree.
