Administrative Assistant Founded in 1860, The Olympic Club is one of the nation's oldest private athletic clubs, operating the City Clubhouse in downtown San Francisco and the Lakeside Clubhouse on the border of San Francisco and Daly City. The Club is recognized for its longstanding traditions and commitment to excellence. Reporting to and collaborating closely with the Senior Director of Club Operations, this role is primarily responsible for supporting administrative tasks, projects, communications, and other assigned objectives. This position will also collaborate closely with other Department Directors to assist with communications, printed materials, and ongoing projects. This job will be on site, 40 hours per week, at the Lakeside campus, with minimal work from home opportunities. Essential functions and responsibilities: Function as the key administrative support for the Senior Director of Club Operations by scheduling appointments and meetings, managing correspondence, maintaining calendars, and other tasks as assigned. Prepare communications, such as memos, emails, invoices, reports, and other correspondence as assigned. Attend weekly departmental/staff meetings (BEO) as needed/requested. Will be a regular user of club operational software, club website, and Microsoft suite. Take and confirm dining and special event reservations and provide information to others about these events. Make confirmation calls to Members regarding reservations in coordination with the catering department. Creates and maintains effective relationships and communication with other departments and members. Orders equipment and supplies as needed/directed. Assist the catering team with the printing of event menus, signage, etc. on a regular basis. Must be able to work occasional evenings and weekends based on operational needs. Regular attendance required based on business expectations and needs. Complies with all federal, state, and local employment laws, safety regulations and guidelines, Olympic Club bylaws and house rules, Club policies and procedures and Union contracts. Non-essential Functions and responsibilities: Attend Management meetings and other meetings as requested by the Senior Director of Club Operations. Qualifications Required: Strong oral and written English communication skills Use of computer basic computer programs such as MS Office Suite. Able to represent the company in a professional manner at all times. Experience as an assistant or administrative role in a fast-paced environment. Highly organized, self-motivated, creative, and exceptional team player. Excellent communicator, both verbal and digital. Qualifications Desired: Work experience within the club/hospitality industry preferred. Experience with club management and catering systems a plus.
