Executive Assistant III The Executive Assistant III provides advanced, high-level administrative and operational support for the Budget and Finance Division and the One For All Foundation. This role requires independent judgment, advanced organizational ability, and a strong understanding of financial administrative processes and supporting daily operations. Ensuring the effective functioning of executive leadership by managing complex schedules, coordinating division-wide administrative workflows, preparing financial and operational documentation, and serving as a central point of communication for both internal and external staff. The position will maintain independent judgment within established County procedures, prioritizes competing tasks, and maintains strict confidentiality while supporting administrative, financial, and operational processes for the Budget and Finance Division. Essential duties and responsibilities include managing complex executive calendars, meeting schedules, and staff activities for the CFO, Finance Director and Procurement Director; preparing agendas, briefing materials, meeting minutes, and follow-up actions for the Budget and Finance Division and the One For All Foundation; drafting and distributing professional correspondence and maintaining confidentiality; ensuring timely routing of information to leadership; preparing and maintaining forms and the SharePoint page to facilitate OCRE policy and procedure compliance; planning and managing staff wellness and connection events; supporting planning, registration, and expense reports associated with travel and training for the Budget and Finance management team; managing, exercising judgment in orders, and authorizing office supply purchases, business card requests, and office supply inventory tracking for Precinct One administrative areas; maintaining and organizing digital and physical filing systems for administrative and financial records; managing CFO check-in agenda for direct reports in Monday.com; and collecting KPI reporting for CFO review. Other duties as assigned. Requirements Education & Experience: Associate Degree in relevant field and minimum five (5) years of executive administrative assistant experience OR Bachelor's Degree in relevant field and minimum three (3) years of executive administrative assistant experience PLUS at least two (2) years in a government setting. Knowledge, Skills, and Abilities: Ability to maintain confidentiality and exercise sound judgment; advanced administrative practices in government or professional settings; understanding of travel, purchasing, and administrative procedures; ability to prepare written communication and documents, and validate them for accuracy; ability to coordinate with upper-level management, the Auditor's Office, and other divisions within OCRE; maintain strong organizational, time-management, and multi-tasking skills; ability to work effectively, efficiently, and independently with minimal supervision; ability to prioritize competing deadlines and coordinate executive schedules; intermediate proficiency in Microsoft 365, PeopleSoft, and Monday.com.
