Job Description

Collections Specialist The Collections Specialist is responsible for managing accounts receivable activities with a focus on timely collections, accurate cash application, account reconciliations, and chargeback resolution. This role works closely with customers and internal teams to resolve payment discrepancies, monitor aging balances, and improve existing processes to support accurate financial reporting and healthy cash flow. Key Responsibilities Apply customer payments accurately and on time, including reviewing remittance advice received through customer portals, EDI platforms, and email, and posting payments in the ERP system Review, analyze, and process customer credits, deductions, and chargebacks, ensuring appropriate coding and complete supporting documentation Research and resolve chargeback disputes by gathering required documentation, coordinating with internal departments, tracking disputes, following up with customers, and working toward resolution Navigate customer portals, Excel reports, and email correspondence to retrieve supporting documentation and analyze discrepancies Partner with Sales and Operations teams to review, validate, and approve chargebacks and deductions Reconcile accounts receivable balances to the general ledger to ensure all transactions are properly recorded Review accounts receivable aging reports to identify past due balances and follow up with customers in a professional and courteous manner to secure payment Maintain accurate records of collection activity, dispute status, and customer communications Proactively identify opportunities to improve current processes and collaborate with management to implement efficiencies Support the AR Manager, Accounting, and Finance teams with ad hoc projects and special initiatives as needed Qualifications & Experience Consumer Packaged Goods Experience required - CPG within the health/beauty industry preferred Minimum of 3 years of accounts receivable or collections experience, preferably within the consumer products industry Working knowledge of general accounting principles Experience using ERP systems; NetSuite experience preferred Intermediate to advanced proficiency in Microsoft Excel, including data analysis and tracking tools Strong attention to detail with the ability to manage multiple priorities Effective communication skills and the ability to collaborate across departments Once trained, this role does have hybrid flexibility Pay Details: $25.00 to $28.00 per hour Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
