The Operations Support Assistant plays a vital role in enhancing daily property operations across an assigned portfolio. This position is perfect for a detail-oriented, self-motivated individual who takes pride in excellence and efficiency. You will be the critical support for the regional team, ensuring that operational standards are consistently maintained, compliance requirements are fulfilled, and property systems operate smoothly. This role involves regular travel between properties within your designated region to oversee key operational activities. Your success in this position depends on your strong attention to detail, accountability, and independent work ethic. Monitor for package overflow, damaged lockers, and unclaimed packages, returning items according to company guidelines. Report any non-functioning lockers or delivery issues to management, and communicate patterns of excessive overflow or misuse to the regional team for resolution. Notice Compliance: Post required property notices (e.g., pest control, late rent, inspections, water shut-offs) within allocated timelines, including the necessary 48-hour notice. Coordinate with relevant parties to ensure postings are visible and secure and remove them when no longer needed. Maintain thorough documentation for compliance and work collaboratively with the Operations Team and on-site management to complete related work orders timely. Key Management and Security: Assist in enforcing key control procedures on-site by overseeing proper sign-out and sign-in processes for vendors, ensuring keys are stored securely and labeled clearly. Update records promptly when keys are returned following move-outs, ensuring accuracy in security and record integrity. Alert management immediately of any missing, late, or unverified keys, and support the organization of key logs when discrepancies occur to uphold security standards. Who You Are: Owner of Your Work: You are proactive, independent, and capable of managing tasks across multiple properties without constant supervision. You take initiative, follow through on responsibilities, and hold yourself accountable for meeting deadlines while maintaining high operational standards. Collaborative Problem Solver: With exceptional organizational and time management skills, you can handle recurring site visits, notice postings, Amazon Hub checks, and key audits while ensuring obligations are met with precision and on schedule. Effective Communicator: Your communication skills allow you to connect professionally with on-site teams, corporate staff, and vendors. You effectively relay necessary information about locker concerns, notice requirements, or key discrepancies to ensure timely resolutions. Detail-Oriented Performer: You have a keen eye for detail and value accuracy in documentation, compliance postings, and key records. Your meticulous approach ensures appropriate documentation, secure postings, well-organized key logs, and steadfast adherence to company standards and regulations. Qualifications: Experience in an office management role. Strong knowledge of data management and analysis. Familiarity with relevant laws and regulations in the real estate or leasing industry is preferred but not essential. Excellent organization and time management abilities. Strong interpersonal and communication skills. Proficiency in Microsoft Office programs including Word and Excel. High attention to detail with a commitment to accuracy. Valid driver's license and reliable transportation. High School Diploma required.
