Stay updated with our social media accounts: EXAMPLE OF DUTIESThe following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other related duties may be required and assigned. Utilizes a computer to enter, store, and/or retrieve information; types materials into form from typed or handwritten copy or machine dictation using a variety of complicated formats for preparing legal documents, correspondence, reports, and forms; assumes responsibility for correctness of spelling, punctuation, format, and grammar. Reviews, types, records, and processes a large variety of legal documents and records; prepares complaints, motions, pleadings, judgments, summons, warrants, and other legal documents; reviews documents to verify accuracy and complete information. Assists staff in the maintaining of calendars for court appearances; arranges appointments and meetings; compiles agenda and obtains needed materials. Screens and independently handles calls and visitors; provides information on departmental policies and procedures; performs routine research to respond to inquiries; directs calls and/or visitors to appropriate personnel and/or department. Opens, reviews, sorts, and distributes incoming mail; attaches background material for reference; independently prepares replies to correspondence on a variety of subject matters. E-file documents with state, federal and appellate courts. Obtain copies of documents filed with the Court as needed. Compiles data in the generation of myriad documents, reports, and records; consolidates data into required format; forwards to supervisor or legal staff for review and approval; distributes as approved to appropriate departments, agencies, and/or involved parties. Maintains departmental files in a systemized and organized manner to ensure ease of retrieval as needed. Performs general administrative duties which include making photocopies of myriad documents and forms; maintaining and retrieving files; may perform deposit of funds. Updates law library books as supplements are received. Advises witnesses via telephone when appearance in court is not required. Tracks work via charts and other measures to ensure compliance with time deadlines. Tracks public records act request within a computerized system and works with attorney and clients to respond on the County's behalf. EXAMPLES OF MARGINAL DUTIES Compares contracts, agreements, and other related documents with previous year's contracts for changes; annotates changes for attorneys. Transporting files and documents to appropriate court clerks for filing with the Court. Maintains various other reports, forms, records, and documents as required. Inventories office supplies and equipment; places orders and maintains sufficient amounts to ensure adequate supplies are available to perform daily tasks. MINIMUM QUALIFICATIONS Knowledge of: Legal office work, procedures and terminology; legal forms and documents. Ability to: Prepare reports and correspondence with a minimum of direction; establish and maintain effective working relationships with professional personnel, associates, and the general public; be self-motivated; work independently; type at 40 w.p.m. (net). Education and Experience: Three years' experience in responsible secretarial work, including one year of legal office work; or any combination of education and experience that provides equivalent knowledge, skills, and abilities. SPECIAL REQUIREMENTS Essential Duties require the following physical skills and work requirements: Requires the ability to exert a small amount of physical effort in sedentary to light work involving moving from one area of the office to another; some positions require sufficient hand/eye coordination to perform semi-skilled repetitive movements, such as typing, filing, data entry, shorthand, and/or use of calculators, ten-key adding machine, or other office equipment or supplies. Disaster Service Workers: All Sutter County employees are designated as Disaster Service Workers during a proclaimed emergency and may be required to perform certain emergency services at the direction of the department and/or County. License or Certificate: This classification may require a valid California driver's license.
