Job Title: Administrative Assistant Locations: 4200 Airport Freeway, Fort Worth Texas Salary: Based on Experience Work Hours: FT (40 Hrs. per Week) Monday through Friday, 8:00 A.M. - 4:30 P.M. Benefits: Company paid basic term life, Paid Time Off, voluntary medical, dental, vision, STD, LTD, and 401(k) General Job Duties: Serve as a primary point of contact for consumers, vendors, and walk-in visitors, providing retail customer service support through in-person, telephone, and electronic communications. Handle incoming calls to the Retail department, respond to inquiries, and direct matters to appropriate personnel while maintaining accurate records and logs for reporting and audit purposes. Prepare, distribute and track communications, announcements, and updates for Donated Goods and Retail management teams to ensure alignment, clarity, and timely execution of initiatives. Complete and submit monthly sales requests related to leases and other recurring financial or operational reporting needs. Prepare materials, reports, and logistics for monthly leadership and management meetings and training materials for new and/or promoted store managers aimed at enhancing skills and knowledge within the Donated Goods and Retail (DGR) department. Focus areas include leadership, customer service and strategic planning. Act as the Learning Management System Administrator by monitoring, tracking, and verifying completion of required DGR progressive pathways training to confirm employees meet promotion eligibility requirements. Ensure timely completion of required Agency compliance training by tracking progress through LMS reporting, proactively communicate completion status, gaps, or outstanding requirements to appropriate stakeholders and confirm training accuracy through the LMS. Partner with designated departments to schedule required training sessions for new store managers across assigned functional areas. Provide technical assistance for marketing and communication platforms including TruDigital and in-store radio systems, coordinating service calls, replacements, and issue resolution. Submit and Collect “You’ve Been Caught Doing Something Good” content to CE/DGR. Act as a liaison between Community Engagement and Donated Goods/Retail departments, supporting cross-functional initiatives and communication. Complete annual signage audits and coordinate signage needs for stores and Attended Donation Centers (ADCs). Support Community Engagement events, including fundraising and employee engagement initiatives, through planning, coordination, and on-site assistance. Provide operational support for the Good Pop Shop merchandise program, including employee orders, payment tracking, restocking, and creation of graphics or themes when needed. Assist the President/CEO in the effective utilization of their time and energies by providing administrative and technical assistance through scheduling appointments, meetings, typing documents/correspondence, travel arrangements, and screening telephone calls and visitors with appropriate disposition. Provide executive-level administrative support. Responsibilities include reserving conference rooms, coordinating logistics, and preparing agendas, materials, and follow-up documentation, processing invoices in Workplace while ensuring accuracy and timeliness, assisting with credit card reconciliation reports, review transactions for accuracy, and assisting executive leadership with expense documentation and compliance. Maintain online VP, Board Room, Conference Room calendars, certified mail accounts, direct mailroom/post office activity, operate & manage the postage machine and serve as the administrator for the Goodwill International “MyGoodwill” website. Coordinate activities, as necessary, between departments including ordering food/catering for internal meetings (Leadership, tours, etc.) Issue Certificates of Insurance (COIs) through the insurance website upon request and maintain proper documentation. Maintain office organization and ensure supplies and resources are adequately stocked and available. Other duties as assigned Skills/Qualifications: High School diploma or equivalent is required. College level coursework is preferred. Minimum 3 years prior administrative experience supporting executive level positions highly preferred. In lieu of experience requirement, an associate’s level degree with 1-2 years of administrative experience is acceptable. Non-profit and retail work experience is highly preferred. Strong written and verbal communication skills, customer service, organization, accuracy, time-management, the ability to exercise independent judgment and discretion are required along with professional appearance and demeanor. Must be proficient in Microsoft Office applications, especially Excel & PowerPoint, and capable of mastering new technology. Physical Requirements: Normal office environment. May be required to stand or remain stationary for extended periods and able to lift 10 – 15 lbs. Must provide your own transportation to off-site facilities as required.
