POSITION SUMMARY The Escrow Assistant provides administrative and transactional support to multiple Escrow Officers within the Mission Valley Branch. This role is responsible for assisting with the opening and processing of escrow files, ordering payoff demands and HOA documents, preparing and distributing escrow instructions, and maintaining accurate records in Qualia. The ideal candidate is detail-oriented, organized, and able to effectively manage multiple priorities while supporting four Escrow Officers in a fast-paced environment. ESSENTIAL FUNCTIONS • Open and set up new escrow orders in accordance with company procedures • Order payoff demands, HOA documents, and other required file documentation • Prepare and distribute escrow instructions via mail, email, or DocuSign • Enter and maintain accurate data and documents in Qualia • Assist Escrow Officers with file updates and transaction processing • Respond to emails and phone calls as directed by Escrow Officers • Communicate professionally with clients, agents, lenders, and vendors • Ensure escrow files are complete, accurate, and compliant with company standards • Provide general administrative and clerical support as needed • Support additional tasks and special projects as assigned COMPETENCIES • High school diploma or equivalent preferred • Previous escrow, title, real estate, or administrative experience preferred • Strong verbal and written communication skills • Ability to manage multiple priorities and meet deadlines in a fast-paced environment • Proficiency in Microsoft Office (Outlook, Word, Excel) and escrow software (Qualia experience preferred) • Strong organizational skills and attention to detail • Ability to maintain confidentiality and handle sensitive information PHYSICAL DEMANDS •The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
