Salary: $40,778.64 - $60,000.00 Annually Location : Ashland, VA Job Type: Full Time Job Number: 03913 Department: Human Resources Opening Date: 03/04/2026 Closing Date: Continuous Description GENERAL RESPONSIBILITIES: Responsible for performing highly specialized administrative secretarial services, which involve a wide variety of activities for the assistant superintendent and the human resources department. Work consists of varied duties involving a wide range of processes and methods relating to the established practices of an administration or professional field. Work requires a broad knowledge of county and/or school operations and frequent contacts with top-level officials. Work is performed under general supervision with considerable latitude for independent judgment. ESSENTIAL DUTIES: (These are intended only as illustrations of the various types of work performed. Provides administrative/clerical support to the Assistant Superintendent, Director, and coordinators as needed; Coordinates projects from design to implementation as directed by the assistant superintendent; Demonstrates an exceptional attention to detail and continuously looks for process improvements; Ensures accuracy, consistency, and professionalism across all organizational communications by proofreading, editing, and formatting documents; verifies data for completeness and correctness, resolving discrepancies to maintain quality and compliance. Assembles information for annual reports, bulletins, addresses, articles or special reports, with general information about sources and scope of such reports; also, proofreads such material after content approved; Coordinates panel interviews for elementary, secondary and administrator candidates; Coordinates employment contracts for athletic coaches and extra-curricular stipends; Schedules and facilitates one on one orientations; Performs fingerprinting/background checks; Ensures all HR paperwork is accurate and complete; Assigns correct stipend amount based on individual's assignment; Processes athletic/extracurricular contracts to employees in a timely manner; Records and verifies receipt of signed contracts; Maintains accurate file of division's I-9 documents. Follows Library of Va. regulations in record keeping requirements; Completes employment and income verification process; Assists team with the posting of vacancies; Maintains a calendar of yearly events and proactively engages employees/processes as needed; Provides troubleshooting support to our school based administrators regarding the applicant tracking system; Oversees HR budget and processes invoices for payment Actively supports new hire orientations including providing notary services; Screens visitors, telephone calls and incoming mail, directed to the assistant superintendent's office; Searches files and a variety of source material to serve as background for reports required by assistant superintendent; Serves as the point person for employment record requests; Stays informed of events that pertain to the department and programs and procedures in the school division; Keep the Assistant Superintendent abreast of matters of potential concern or need; Maintain effective working relationships with other employees and the public and works collaboratively and respectfully with all; Assist with the preparation and distribution of new and replacement identification badges Provides support as needed for job fairs and special events sponsored by the department; Maintains and updates the Human Resources web page; Performs related work as required. Qualifications: KSA's, Education KNOWLEDGE, SKILLS AND ABILITIES: Extensive knowledge of office terminology, procedures and equipment, and of business arithmetic. Demonstrated leadership qualities and personal characteristics necessary for working effectively as a team member with the Assistant Superintendent, other central office staff, principals, teachers, parents, and members of the community. Effective written and verbal communication skills required. High degree of tact and good judgment in dealing with people. Must have a strong attention to detail and proofreading abilities. Requires judgment and knowledge of school division policies and practices. Ability to maintain complex clerical records and prepare reports from records. Contacts are made at all organizational levels, within and outside the school system. Ability to maintain confidentiality of employee information. Handles sensitive, confidential or controversial information. Must handle telephone calls with professionalism, empathy and competency. Must be able to work and adapt to a changing environment. Comprehensive knowledge of office practices and procedures, business English to include proper grammar, spelling, punctuation and mathematics. Moderate to advanced skill level in Microsoft Office Products and Google products needed. A strong technology acumen needed. EDUCATION AND EXPERIENCE:Required: Education, training or experience sufficient to demonstrate the required knowledge, skills and abilities. Office experience and/or advanced secretarial training; basic proficiency with Google and Microsoft Office products, as well as the ability to learn other HR software applications. Preferred: Prior experience working as administrative assistant, particularly in a school or human resources setting. Terms of EmploymentWORK SCHEDULE: 12M - 261 Days - 8 Hrs. PAYGRADE: 11 SALARY SCALE: Uniform FLSA STATUS: Non-Exempt Physical requirements and Disclaimer PHYSICAL CONDITIONS: Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact. Regular contacts made with individuals from other internal units, outside organizations, and the general public for purposes of exchanging information which requires some judgment or interpretation. Communication is usually cooperative in nature with infrequent conflicts resolved by higher authority. Administrative clerical work typically performed sitting in an office with occasional walking, light lifting of office items up to 30 pounds; and other limited physical activities. Work is regularly performed in an office setting. Travel to school sites throughout the county is probable. Attendance at meetings outside the normal duty hours is likely.
