Superintendent Administration Building 12 month position; 7.0 hours/day 2025/26 Support Staff Salary Range: $21.75 - $32.89 per hour SUMMARY OF PURPOSE This position is responsible for all administrative and secretarial duties to support the Assistant Superintendent. ESSENTIAL JOB FUNCTIONS Executive & Administrative Support 1. Oversee preparation and distribution of correspondence. 2. Schedule meetings and appointments, maintain calendar, and make travel arrangements. 3. Receive and screen telephone calls, mail, visitors, and e-mail. 4. Provide receptionist coverage as needed. 5. Perform other administrative duties including, but not limited to ordering supplies, purchase orders, filing, copying, scanning, and flyer distribution. Professional Staff Learning, Induction, and Credits 6. Assist with ongoing professional development including setup, tracking, and reporting for all district provided in-service days and summer workshops. 7. Process conference and workshop requests for all district staff. 8. Process Act 48/45 credits through district web-based portal. 9. Process professional staff continuing education including approvals, tracking credits earned, and reimbursements. 10. Assist with new teacher induction program and mentorship program. Board, Curriculum, and Instructional Materials Administration 11. Assist in the preparation for monthly Curriculum Committee agendas for school board consideration. 12. Process and maintain curricular courses of study, textbook adoptions, and supplemental resources. Obtain quotes, order inventory, submit for payment. Communications & Presentation Development 13. Create polished, visually engaging presentations and materials by refining content provided by Assistant Superintendent to ensure clear communications and high-quality results. 14. Support effective communication by creating and managing content across multiple media and platforms, ensuring messages are clear, engaging, and tailored to the intended audience. Systems, Forms, and Web-Based Processes 15. Create and manage appropriate web-based portal forms for staff access and use. Grants, Programs, and Compliance Support 16. Assist with fiscal and program documentation for various special programs, Federal programs, grants, and awards. SECONDARY JOB FUNCTIONS 1. Perform other duties as assigned by the Assistant Superintendent SCOPE AND IMPACT This position accomplishes most tasks through standard procedure, exercising independent judgment when necessary. High-level contacts of a complex and confidential nature, both inside and outside the school district, are made. Internal contacts include district office staff, district administrators, teachers, and classified staff. External contacts include parents, community members, school board members, and any other business or school related entities. KNOWLEDGE & SKILL REQUIREMENTS Minimum high school diploma or other equivalent (e.g. GED, technical, trade school, or foreign equivalency). Advanced degrees, licenses, or certifications preferred. Minimum of five (5) years of experience in an office setting involving the responsibility associated with office management. Must possess exceptional customer service skills. Strong organizational and communication skills required. Must be able to work independently and be self-motivated. Five to seven years of administrative assistant experience is desirable. Requires experience in modern office practices and administrative procedures. This position requires knowledge of software such as word processing, spreadsheets, databases, email, scanning, and various web-based applications. Confidentiality and attention to detail are essential. Language Skills: Ability to read, analyze and interpret written and verbal information. Must demonstrate effective communications with, and respond in a timely manner to, questions from groups of administrators, staff, parents and the general public. Mathematical Skills: Ability to work with and apply mathematical concepts such as fractions, percentages, ratios, and proportions to practical situations. Reasoning Ability: Able to solve practical problems and deal with several variables at once. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Other Required Skills and Abilities: Perform duties with awareness of all District requirements and Board of Education policies. Verified and specific evidence of training and experience with a variety of technology applications included but not limited to: word processing, database, spreadsheet, and website management. The following clearances must be provided upon hire and updated every five years in accordance with Act 153: PA State Police-Act 34, Child Abuse- Act 151, and FBI Fingerprint-Act 114. Child Abuse training (or proof of completion) in accordance with Act 126 upon hire and repeated every five years thereafter. A negative TB test is required upon hire. PHYSICAL/MENTAL/ENVIRONMENTAL Activities: Sitting 80%, walking/standing 20%, occasional lifting required up to 40 lbs. Vision: Normal Mental Demands: Ability to interpret, analyze, problem solve; detailed written and verbal communications.
