HR Services Specialist 2 Performs human resources activities in the areas of recruitment, retention, benefits, and troubleshooting payroll issues. Provides services as a resource contact disseminating information on rules, regulations, procedures, and statutes. The School of Historical, Philosophical and Religious Studies (SHPRS) at the Tempe campus seeks a highly detail orientated Department HR Specialist Sr. to manage personnel functions for the unit. Under the supervision of the Business Operations Manager Sr, the successful candidate will be a reliable self-starter who is able to prioritize and independently manage their workload to meet set deadlines. The functions require keen attention to detail, excellent communication skills, discretion, and judgement. The duties include but are not limited to faculty personnel actions; academic and non-academic staffing coordination; payroll management; human resource compliance; maintaining and retention of unit personnel files and other functions designated by the school. Salary Range: $53,500 - $62,000 per year; DOE Essential Duties: Coordinates and manages faculty, postdoc, and staff searches, retirements/resignations, job changes, and terminations in Workday and Interfolio, ensuring onboarding and offboarding is complete. Manages the unit's academic personnel processes - promotion/tenure, career-track promotions, probationary reviews, progress towards tenure reviews, academic appointments, administrative appointments, and Notice of Appointments. Coordinates and manages Faculty Associate hires/renewals and Summer faculty Teaching/Other/Research hires/renewals and TA/RA hires/renewals. Unit Operational Time Keeper coordinates with supervisors to ensure all time entries are accurate and approves all unit time submitted by payroll deadlines. Maintains accurate records of time reporting for audit purposes. Coordinates with OHR as the unit contact for Leave of Absence requests. Processes payroll cost allocations and accounting adjustments, as needed, working collaboratively with other ASU units when appropriate. Manages HR and payroll quality control - resolves payroll discrepancies and works as a liaison between the unit and OHR and/or Payroll. Manages contingent worker, faculty affiliate, and adjunct processes. Coordinate all faculty visa application and renewal processes, such as but not limited to H1-B, J-1 Visas, and permanent residency. Work closely with the unit BOM Sr to review payroll expenditure requests and obtain expenditure approvals in accordance with established financial guidelines and policies. Assists as needed with the unit's faculty annual evaluation process. Assists Business Operations Specialist with student hires/terminations/job changes as needed. Track and ensure trainings and benefits enrollment are complete. Maintain appropriate personnel records based on OHR, state and federal guidelines. Assists in internal and external audit requests and prepares audit documents for payroll audits. Works closely with college administration and central OHR Benefits office to coordinate faculty and staff benefit issues. Provide back up support to SHPRS Front desk, faculty candidate itineraries and travel arrangements. Communicates HR and payroll expectations clearly to fellow unit employees and central HR representatives Advises and assists managers and staff in the handling of employee relations issues, complaints and/or grievances and determination of appropriate actions. Participates in a variety of departmental, college, and university-wide initiatives and meetings to represent unit's interests in the area of human resources and to ensure an integrative/collaborative support of college and university interests. Works closely with college administration and central OHR to develop and implement all departmental human resource activities to ensure adherence with university policies, practices and regulations. Performs other duties as assigned to ensure the continuity of unit operations and to meet customer service needs. Desired Qualifications: Experience processing a high volume of HR/payroll/academic operations and maintaining confidential personnel files Experience using Workday, Interfolio, Peoplesoft, Analytics, Microsoft Excel, and Googlesheets Evidence of attention to detail Experience in adapting and working effectively in an environment subject to quickly changing priorities, managing uncommon situations/tasks, sensitive/confidential information and short deadlines. Experience in processing and managing visas, e.g. O-1, H1-B, J-1, and permanent residency Experience effectively utilizing new technology, practices, policies and methods Experience working in higher education or academic unit Evidence of effective verbal and written communication skills, using tact, and discretion Demonstrated knowledge of FLSA, FMLA, ACA and University policies and procedures Experience in working effectively and collaboratively with faculty, staff and students Working Environment: Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work and attend meetings. Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate verbally, read, write, see and hear to perform essential functions. Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, calculator, copier, telephone and associated computer/technology peripherals. The position is eligible for flexible work option of remote work 2 days of the week after initial training period, subject to approvals per ASU policy.
