Civil Litigation Legal Secretary Location: Los Angeles, California Job Type: Part-Time / Flexible Schedule Work Location: In Person Pay Rate: $38–$50 per hour, depending on experience Practice Area: Civil Litigation (State & Federal – Pre-Trial) Position Summary Boutique entertainment and business litigation firm in Century City seeks a highly skilled and detail-oriented Civil Litigation Legal Secretary (do not apply unless you are a legal secretary) to provide comprehensive support to attorneys handling state and federal civil litigation matters through all pre-trial phases. This position requires strong case management skills, in-depth knowledge of civil procedure, and experience with both Los Angeles Superior Court (LASC) and U.S. District Court filing systems, including PACER/CM-ECF. Key Responsibilities Case Management & Litigation Support Manage civil litigation cases in California state and federal courts from demand letters through pre-trial resolution Open, maintain, and manage electronic and physical case files Track and calendar litigation deadlines, court dates, and case milestones for multiple courts Maintain accurate calendaring and tickler systems to ensure compliance with court rules and scheduling orders Pleadings, Filings & Court Procedures (State & Federal) Prepare, finalize, and e-file pleadings and related documents in Los Angeles Superior Court and U.S. District Court Draft and file complaints, summons, proofs of service, motions, oppositions, replies, and related pleadings Secure court dates and hearings, including motion reservations as required Arrange for service of process and ensure timely filing and service of documents Serve moving papers in compliance with applicable state and federal rules Retrieve and monitor case filings and dockets using PACER/CM-ECF Deadline & Rules Compliance Calculate and calendar opposition and reply deadlines based on: California Code of Civil Procedure Local and federal court rules Federal Rules of Civil Procedure Court orders and scheduling orders Ensure all filings comply with formatting, service, and timing requirements for both jurisdictions Discovery & Document Management Prepare, propound, and respond to written discovery in state and federal cases Assemble, organize, and manage document productions, including Bates stamping Prepare and serve verifications for discovery responses Maintain discovery logs, production indices, and document databases Depositions & Client Coordination Coordinate depositions in state and federal matters, including: Preparing and serving Notices of Deposition Coordinating subpoenas as necessary Securing court reporters and other vendors Scheduling with opposing counsel and witnesses Arrange and coordinate deposition preparation sessions with attorneys and clients who are being deposed General Administrative & Litigation Support Communicate professionally with clients, court personnel, opposing counsel, and vendors Assist attorneys with trial preparation and motion support as needed Perform additional litigation-related administrative tasks as assigned Qualifications Required Minimum 3–5 years of experience as a civil litigation legal secretary supporting state and federal cases Strong knowledge of: California civil procedure Federal Rules of Civil Procedure Los Angeles Superior Court and U.S. District Court local rules Hands-on experience with LASC e-filing and PACER/CM-ECF Proficiency in Microsoft Office (Word, Outlook, Excel) Excellent calendaring, organizational, and deadline-management skills High attention to detail and accuracy Preferred Familiarity with e-discovery and document management platforms Ability to manage a litigation docket Skills & Competencies Strong written and verbal communication skills Ability to work independently and collaboratively in a litigation team Sound judgment and discretion in handling confidential matters Ability to prioritize competing deadlines across multiple courts Send resume to:
