This position will work in conjunction with the Educational Leadership at Indiana University (IU) School of Medicine (IUSM) - Fort Wayne to advance the administrative and operational support for all Phase 1 courses within the medical educational program. Department-Specific Responsibilities Provides supervisory oversight of course scheduling Assists with assessment and evaluation of courses and faculty Assists faculty with course implementation Manages recruitment of clinical faculty for Phase 1 courses Assists faculty in managing curriculum development projects and activities for medical students in all Phase 1 courses Works independently and without supervision, with guidance on only unusual complex issues Works with faculty to create and maintain schedules for Understanding Diseases of Organ Systems (UDOS) and non-UDOS courses including reserving rooms, coordinating clinical faculty schedules for course, posting schedules and syllabi to Canvas, and updating student Google calendars Resolves scheduling and teaching conflicts for all Phase 1 courses Maintains course Canvas pages, posts didactic and non-didactic lecture materials, distributes small group materials, posts student scores as needed, and assists faculty with assessment development in ExamSoft Assists with classroom preparation including proctoring exams, recording and posting lectures, etc. Instructs volunteer clinical faculty physicians regarding IUSM educational policies, course learning and session objectives, educational goals, small group teaching methods, scheduling requirements, attestations, etc. Provides administrative services to volunteer faculty, such as, course objectives, parking passes, campus map and directions Maintains communication with class representative about coursework, schedule updates, etc. Serves as backup for staff duties when other staff are out of office Assists with administrative duties such as filing, typing, copying, binding, scanning etc. as needed General Responsibilities Provides administrative support of departmental course scheduling, including coordinating the schedule of classes, answering course inquiries, providing enrollment data, and maintaining course descriptions Performs data entry in order to build, edit, and maintain the schedule of classes for 1 or more semesters Monitors student registration and reports issues and potential budget impacts to supervisor May open additional sections of courses and/or delete sections depending on enrollment demand, based on supervisor's instruction Serves as a liaison with Registrar staff, as well as other departments for coordination of combined or cross-listed courses Reviews and approves/denies late drop and add requests from students; communicates decisions and related information, such as late fees Runs regular reports of enrollment data and communicates with supervisor May assist with classroom reservations and/or collaborate with Classroom Planning staff for any room assignment issues May provide guidance to other Course Scheduling staff Qualifications Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education. EDUCATION Required High school diploma or equivalent (such as HSED or GED) WORK EXPERIENCE Required 4 years in related field SKILLS Required Proficient written and verbal communication skills Maintains a high degree of professionalism Demonstrates time management and priority setting skills Demonstrates a high commitment to quality Possesses flexibility to work in a fast paced, dynamic environment Highly thorough and dependable Possesses a high degree of initiative Ability to build strong customer relationships Working Conditions / Demands This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
