JOB SUMMARY: The Compliance Specialist position supports and monitors compliance efforts across safety, risk, and claims management functions to promote a culture of accountability, continuous improvement, and operational excellence. The Compliance Specialist is responsible for monitoring all driver qualification files in accordance with New York State Department of Motor Vehicles (DMV) Article 19-A and applicable traffic laws. The specialist will manage all related documentation, track deadlines for required examinations and reports, coordinate with internal departments and external agencies, and support audits or reviews conducted by regulatory authorities. REPORTS TO: Assistant General Counsel COMPENSATION: $26.44/hr. - $27.88/hr. Click here to view current medical plan rates!ESSENTIAL FUNCTIONS: Review forms for accuracy and coordinate scheduling to ensure compliance with NYS DMV Article 19-A regulations. Communicate with legal counsel on compliance obligations and take action necessary to carry out advice of counsel. Monitor and track required medical certifications, road tests, abstract reviews, biennial reviews, and other mandated documentation. Prepare, organize, and submit required reports for state audits and inspections. Maintain compliance tracking systems to ensure timely completion of all requirements. Notify supervisors and drivers of upcoming expirations or missing documentation and follow up to ensure timely submission. Ensure drivers are removed from service when necessary to ensure compliance with applicable laws and regulations. Serve as a liaison with the NYS DMV and other regulatory entities regarding 19A compliance. Assist with policy updates, training, and communication related to 19A compliance requirements. Ensure confidentiality and security of all driver records in accordance with applicable laws and organizational policy. Perform other compliance related duties as assigned. EDUCATION & EXPERIENCE: Associate degree in Business Administration, Human Resources, Transportation Management, or a related field preferred; equivalent experience may be considered. Minimum of two (2) years of administrative, compliance, or records management experience required. Prior experience in public transportation, regulatory compliance, or DMV/19A administration strongly preferred. KNOWLEDGE, SKILLS & ABILITIES: Strong knowledge of NYS DMV Article 19-A regulations and driver qualification requirements is preferred. Excellent attention to detail with a high level of accuracy in recordkeeping and data entry. Strong organizational and time management skills with the ability to manage multiple deadlines. Ability to interpret, apply, and communicate regulatory requirements clearly and effectively. Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and database management systems. Strong written and verbal communication skills. Ability to maintain confidentiality and handle sensitive information with discretion. Demonstrated ability to work independently and collaboratively in a team environment. TRAINING AND COMMUNICATION Develop and deliver compliance-related training and communication to employees and management. Provide consultation and guidance to departments to improve awareness and understanding of regulatory requirements. Support continuous improvement initiatives to enhance compliance performance and reduce organizational risk.
