The position reports directly to the Associate Dean of Undergraduate Programs and plays a key role in facilitating communication, scheduling, and financial management. Minimum Education and Experience Bachelor's degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience. Preferred Education and ExperienceOther Qualifications To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position. Essential Duties and ResponsibilitiesEssential Duties and Responsibilities: Provide comprehensive administrative support to the Associate Dean and the Undergraduate Programs Office, including scheduling meetings, managing calendars, and handling correspondence with students, faculty, and external constituents. Assist in coordinating undergraduate program events, including student activities, department meetings, and facilitating room and resource access. Assist with purchasing processes, travel and hotel arrangements, and reimbursement submissions. Serve as the primary point of contact for students, faculty, staff, and visitors, offering information and directing inquiries appropriately. Assist in preparing reports, presentations, and other documents to support program initiatives. Support budget tracking and account reconciliation across multiple cost centers. Coordinate office communications, including email updates, website content revisions, and other communication needs as they arise. Perform additional administrative tasks and special projects as assigned.
