Program Assistant The Program Assistant position is responsible for coordinating and maintaining a variety of activities, some of which are confidential, associated with the Department of Housing and Residence Life. This position is made up of rapidly changing priorities with altered deadlines. It requires patience and understanding of resident students, housing guests, and campus partnerships. Responsibilities of the Program Assistant include but are not limited to: Maintains and updates housing database records to ensure the accuracy and integrity of program data. Provide administrative support to the Summer Camps program, including making keys, assisting with concerns, ensuring rooms are properly set, staffing the check-in table, etc. Assist with the management of summer intern housing and other guest housing. Expectations include making keys, maintaining rosters, coordinating the move-in procedure, and communicating with clients. Provide back-up and support to the Housing Assignments team during high traffic periods. This includes being knowledgeable about room change procedures/timelines and other specific assignment-related information. Provide back-up and support to the front desk staff during absences, high traffic periods, and other times where assistance may be needed. Function as primary lead for walk-in support. Assist with the management of the housing inbox to support efficient and timely communication. Maintain and communicate accurate resident mailbox information for all residential spaces. Facilitate Room Condition Form Processes. Answer phones, make keys, scan/index documents, route calls/visitors, schedule appointments, and deliver appropriate and accurate information. Provide back-up support to the Assignments Specialist in periods of absence. Assist parents, students, or staff in understanding Housing and Residence Life processes and procedures and help with any concerns or questions. Assist with move-in and move-out events. Provide support as needed with the housing mailroom and Welcome Desks. Assist with University recruitment events on behalf of the department. (Saturdays at the Nest, Open House events, etc.) Other duties as assigned. Marginal Job Functions Greetings, announces, and routes visitors as well as receives and handles telephone calls involving interpretation of university rules and regulations as they apply to the Department of Housing and Residence Life. Responsible for the even distribution of work assignments to include Housing and Residence Life students, OPS workers, and other support personnel. May pick up or deliver information from other offices on campus. Other duties as assigned by the Director of Operations, Associate/Assistant Directors of Operations, or Assistant Vice President of Housing and Residence Life. During declared campus emergencies, this position may be required to perform specific job-related duties at a designated off-campus location or place of residence. General supervision. The incumbent develops procedures for performing a variety of complex duties within established guidelines; has considerable freedom while the work is in process and receives instructions on new assignments. High school diploma and 4+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. This position requires a background check. In conjunction with the University's policy, this position may also require a credit check.
