Residence Life Program Assistant Student Employment & Hiring Operations The Residence Life Program Assistant Student Employment & Hiring Operations is responsible for coordinating and maintaining a wide range of administrative and operational functions related to the recruitment, hiring, onboarding, employment maintenance, and separation of student staff within the Department of Housing and Residence Life. This position manages high-volume, cyclical processes with frequently shifting priorities and deadlines, particularly during peak recruitment and transition periods. This role requires exceptional organization, attention to detail, discretion with confidential information, and strong communication skills. The Program Assistant works closely with student staff, professional staff, campus partners, and recruitment and selection committees to ensure accurate, timely, and compliant processing of student employment tasks. Primary systems used include Workday and related university databases, such as Banner, Maxient, StarRez, and erezlife. Job Functions / Essential Duties Responsibilities of the Residence Life Program Assistant Student Employment & Hiring Operations include, but are not limited to: Student Staff Hiring & Employment Administration Coordinate student staff hiring processes from offer through onboarding, including initiation, tracking, and verification of employment actions in Workday. Ensure completion and accuracy of I-9 documentation, onboarding tasks, job changes, rehires, and terminations in accordance with university and federal requirements. Monitor and follow up on incomplete or pending employment actions to ensure timely compliance. Serve as a primary point of contact for student staff regarding employment paperwork, hiring timelines, and Workday-related questions. Recruitment & Selection Support Provide administrative and logistical support for student staff and professional staff recruitment and selection committees. Coordinate hiring timelines, communication templates, tracking tools, and documentation for searches and student staff selection processes. Assist with maintaining accurate recruitment records and employment files in accordance with university retention and confidentiality standards. Timesheets & Payroll Coordination Support student staff timesheet processes, including monitoring submissions, troubleshooting issues, and coordinating corrections as needed. Serve as a liaison between Residence Life, Payroll, and Human Resources to resolve discrepancies or questions related to student employment compensation. Systems, Records, & Data Management Maintain organized, accurate records related to student employment, hiring cycles, and staffing changes. Generate basic reports or tracking documents to support staffing projections, onboarding progress, and audit readiness. Utilize spreadsheets, Microsoft Office tools, Workday, and other institutional systems to support operational needs. Communication & Customer Service Communicate clearly and professionally with student staff, professional staff, and campus partners regarding processes, deadlines, and expectations. Provide high-quality customer service in a fast-paced environment with frequent interruptions and competing priorities. Demonstrate care, patience, and problem-solving skills when supporting students navigating employment processes. Other Duties Participate in move-in, move-out, or peak operational periods as needed to support department-wide priorities. Perform other related duties as assigned to support the mission and operational effectiveness of Housing and Residence Life. Marginal Functions Provide additional staffing support during peak Housing and Residence Life events or operational periods. Assist with special projects related to staffing, hiring process improvements, or departmental initiatives. Preferred Knowledge, Skills, and Abilities (Optional Section) Experience with Workday or similar enterprise HR systems. Familiarity with student employment practices in higher education. Strong organizational skills and ability to manage confidential information. Ability to work independently while maintaining strong collaborative relationships. Commitment to accurate, student-centered service. This position requires a background check. In conjunction with the University's policy, this position may also require a credit check. The holder of this position is designated as a "Responsible Employee" pursuant to their role under Title IX. A CSA is not expected to investigate or determine whether a criminal incident actually took place. A CSA ' s responsibility is a duty to report.
