Executive Administrative Assistant The Executive Administrative Assistant provides high-level administrative and operational support to senior executives. This role requires exceptional organizational skills, discretion, and the ability to manage competing priorities in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and trusted to handle sensitive information while serving as a key partner to executive leadership. Location: On-site Reports to: Executive Leadership (e.g., CEO, President, Senior Vice President) Executive Support Manage complex executive calendars, including scheduling meetings, coordinating across time zones, and resolving conflicts Coordinate domestic and international travel, including itineraries, accommodations, and expense reporting Prepare executives for meetings by organizing agendas, materials, presentations, and briefing documents Serve as a primary point of contact between executives and internal/external stakeholders Administrative & Operational Excellence Draft, edit, and format correspondence, reports, presentations, and other executive-level materials Maintain confidential files and records with a high degree of accuracy and discretion Track action items, deadlines, and follow-ups to ensure commitments are met Support board meetings and leadership meetings, including preparation, logistics, and minutes (as applicable) Project & Process Support Assist with special projects, cross-functional initiatives, and process improvements Anticipate executive needs and proactively address administrative or operational gaps Partner with other administrative staff to ensure seamless executive support coverage Required Qualifications 3+ years of experience supporting senior-level executives (VP, SVP, C-suite preferred) Strong proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) Exceptional written and verbal communication skills Proven ability to manage confidential information with professionalism and discretion Strong organizational, time-management, and problem-solving skills Preferred Qualifications Experience supporting multiple executives simultaneously Background in fast-paced environments such as technology, finance, healthcare, or professional services Experience with project management tools or expense management systems Associate's or Bachelor's degree preferred, or equivalent professional experience Competencies for Success High emotional intelligence and executive presence Ability to anticipate needs and work independently Adaptability and resilience in changing priorities Attention to detail with a commitment to accuracy and quality Compensation & Benefits Salary Range: $60,000 $75,000 annually Competitive benefits package including health insurance, retirement plan, paid time off, and holidays Pay Details: $60,000.00 to $75,000.00 per year Search managed by: Quenton Sass Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
