Position Summary The Proposal Specialist manages the end-to-end proposal development process, responding to RFPs, RFI and RFQs. This role owns proposal execution from intake through submission, including planning, coordination, writing, compliance, reviews, and final production. The Proposal Specialist works closely with cross-functional stakeholders to deliver clear, compliant, and compelling proposals that effectively communicate the organization's technical capabilities, value proposition, and competitive differentiation. As an essential member of the team, this individual thrives in a collaborative environment and contributes meaningfully to the company's overall success. Responsibilities Manage the full proposal lifecycle from opportunity intake and kickoff through final submission Develop proposal schedules, outlines, compliance matrices, and responsibility assignments Facilitate proposal kick-off meetings, content reviews, and deadline check-ins Coordinate inputs from Sales, Solutions Engineering, Product Management, Engineering, Legal, Finance, and Business heads. Track mandatory requirements, certifications, and security questionnaires Conduct comprehensive proofreading and finalization of proposals ensure accuracy, consistency, and a high standard of professionalism. Coordinate approvals and final sign-off prior to submission Manage electronic submissions through customer portals and procurement platforms Process Improvement & Knowledge Management Maintain proposal templates, response libraries, and RFP knowledge bases Capture lessons learned, and contribute to continuous improvement of proposal processes Support standardization of proposal workflows and tools across the organization Ideal Profile: Bachelor's degree in Communications, Marketing or equivalent experience 3+ years in proposal development Strong writing, editing, and content organization skills Ability to work effectively in fast-paced, deadline-driven environments Proficiency with Microsoft Office. Salesforce or CRM experience. Skills: Excellent project management and organizational skills Strong cross-functional communication and stakeholder management Ability to synthesize technical and business information Detail-oriented with a strong focus on quality and compliance Rekor is an equal opportunity employer M/F/D/V.
