Job Skills / Requirements Duties and Responsibilities: Recruitment for several facilities in the region, including sourcing candidates, posting and monitoring job openings, setting up interviews, maintaining a log of openings, assisting with interviewing duties as needed, tracking applicants through the hiring process, maintaining records of hired employees, and completing background checks. Receive and triage incoming calls regarding job openings and forward appropriate inquiries to the Recruitment team. Serve as a primary point of contact for daily incoming calls from site managers, regional leadership, and higher management, providing assistance with a wide range of operational needs including, but not limited to, eHub timekeeping inquiries, HR and benefits-related questions, assistance with forms and documentation, meeting setup and coordination, pricing drafts, and contractual inquiries. Open, sort, and distribute incoming correspondence, packages, and email communications. Prepare responses to routine inquiries. Perform general clerical duties including payroll support, assisting with HR matters, copying, mailing, filing, and maintaining accurate records. Manage and respond to a high volume of daily email correspondence from management, corporate departments, and account contacts. Requests often require detailed research, coordination, and follow-up and represent a significant portion of daily responsibilities. Oversee all aspects of general office coordination with a strong ability to multi-task. File and retrieve organizational documents, records, and reports. Coordinate and direct office services, including records management, budget preparation, personnel coordination, and housekeeping. Maintain the regional office calendar to coordinate workflow, meetings, interviews, and training sessions. Set up and coordinate meetings, conferences, and training events for skilled and support personnel. Act as a key administrative and operational resource for site managers, account contacts, and corporate departments, including coordination and communication with other operating divisions to ensure effective problem resolution. Receive calls from client accounts, providing assistance when appropriate or routing inquiries to the Accounts Receivable department as needed. Assist with resolving customer complaints and support public relations efforts with employees, residents, visitors, and clients. Conduct research, compile data, and prepare reports, spreadsheets, and presentations for review by the Regional Director and Operations Team. Strong proficiency in Microsoft Excel, Word, and PowerPoint is required. Maintain confidentiality in all aspects of client, staff, and corporate information and ensure compliance with goals and objectives established by the Operations Team. Other duties as assigned. Minimum Qualifications: Education: High school degree required, college degree preferred. Experience: At least three (3) years' experience in general office responsibilities and procedures. Skills: Strong computer and time management skills Good writing, analytical and problem-solving skills. Knowledge of principles and practices of organization, planning, records management and general administration.
