Job Purpose & Position Overview The purpose of this position is to function as a Patient Access Representative (PAR) responsible for the clerical and administrative support including registration and eligibility services, which is the key point for interaction with patients to obtain and process demographic and insurance information. The Patient Access Representatives at Winnebago Comprehensive Healthcare System are responsible for the comprehensive and compassionate collection of all demographics, third party resources, and clinical information necessary to effectively register a patient for services in all medical system departments and areas. Specific Job Duties/Responsibilities: Perform a variety of support duties that facilitate the work of physicians, physician assistants, nurses, and other staff of the hospital which consist of the following: Patient Registration Assists in accomplishing the work of the department by receiving and relaying incoming/outgoing telephone, intercom, and electronic messages. Maintains appointments and clinic availability listings by use of Meditech EHR system for scheduling in acute, ancillary, and ambulatory departments of the facility. Utilizes Capstone when needed to transfer information into patients' Meditech EHR record. Interviews patients to obtain information to determine eligibility and initiate a new health record and/or reactivate a retired record. Collect and verify third party eligibility coverage. Prepare charts and assist with monthly reports to Supervisor as requested. Always maintain patient confidentiality. The Patient Access Representative must be proficient in accessing the correct medical record number on each patient to avoid creating duplicate medical record numbers. Accuracy of data entry is of utmost importance. Performs other duties as assigned. Alternate Resources Works closely with Patient Benefits Coordinators in the identification of patients who may be eligible for third party resources. Works closely with clinical nurses and providers to ensure accurate scheduling and patient flow. Works closely with Purchased Referred Care and Medical Billing to determine accurate insurance information is entered in the electronic health record, as well as accurate demographic and eligibility documentation. Qualifications/Skills: High School Diploma or Equivalency plus 2 years of experience in the healthcare profession Working knowledge of the eligibility requirements of the Winnebago Comprehensive Healthcare System program. Basic understanding of WCHS Direct Care eligibility requirements. Demonstrated knowledge of medical terminology. Knowledge of interview techniques. Knowledge of the Privacy Act of 1974, and use of the confidential information and health records as an integral part of the interviewing office function and the privacy of individuals must be fully protected. Knowledge of third-party resources (Medicaid, Medicare, Veterans Benefits, SSI, etc.) to make referrals to the Patient Benefits Coordinator and be able to respond to patient inquiries Skilled in practical use of electronic systems to provide general clerical office support Knowledge of patient registration systems, electronic health record systems, patient texting platforms, and patient portal platforms. Strong organizational and multi-tasking skills. Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. Training Requirements: As required to remain proficient in position and/or to meet requirements BLS/CPR certification provided and must be obtained within 6 months of hire. Physical Requirements: Normal to light office work which includes the ability to lift to 20 lbs. Regularly required to walk, stand, and sit for extended periods of time and use hands to operate computer keyboard, phone, and various office equipment. Cognitive Requirements: Reading, writing, calculating. Excellent social interaction skills with the ability to maintain a calm demeanor in difficult situations. Ability to work effectively both independently and as a team. Language Requirements: Must possess the ability to read, write, and speak the English language fluently. Must be able to continually and effectively employ professional verbal and written communications skills.
