PRIMARY PURPOSE SUMMARY : Receives, screens, and monitors all incoming calls to Human Resources and other departments. Acts as receptionist for the Department for Human Resources and other departments and provides assistance and directions to visitors and employees as needed. ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES: 1. Receives, transfers and monitors incoming calls on multiple lines for the Human Resources Department and other departments. 2. Receives all visitors and refers them to appropriate offices/destinations. 3. Utilizes Raptor System to check in all visitors to Central Office. 4. Assists visitors with questions about employment process. 5. Uses District Lawson software as locator for District employees in response to telephone and visitor inquiries. 6. Monitors and provides assistance with the on-line employment application process. 7. Monitors schedule of daily building meetings and events. 8. Assists in collating recruiting materials for Human Resources Directors. 9. Accesses internet and intranet web pages daily and sends and receive e-mails as needed in order to communicate updated department and District information. 10. Assists other Human Resource Clerks with data entry and scanning. 11. Schedules Fingerprint appointments as needed. 12. Enters drug and physical results. 13. Distributes new hire material. 14. Assists with department mail outs, typing, filing and other clerical duties as assigned. 15. Performs a variety of clerical duties in all areas of the Human Resources Department. 16. Maintains confidentiality of information. 17. Reports to work on time every day. 18. Performs additional duties and responsibilities as may be assigned. QUALIFICATION REQUIREMENTS: • Knowledge of District telephone system and skill in the operation of telephone equipment • Proficient computer skills and ability to utilize Microsoft Office and various other software programs • Proficient typing, word processing and file maintenance skills • Excellent telephone skills • Excellent oral and written communication skills • Strong organizational and interpersonal skills • Skill in dealing diplomatically with the public under stressful conditions • Ability to access Web Page • Ability to prioritize duties and telephone calls PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job: While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear.
