Summary Job Description The Athletic Operations Coordinator supports athletic department administration in operational efforts, which include such areas as game day supervision, vehicle maintenance efforts, bus driving and general upkeep of athletic facilities. The assistant serves in support of Covenant Day School's mission and duties are to be executed in such a manner as to bring honor and glory to God. The position is a full-time hourly (non-exempt) role serving throughout the 12 month calendar year. Regular hours require evening commitments for games and other department obligations, and hours could reduce some between mid-June and July depending on summer needs. The individual in this role reports directly to the Athletic Director and can begin serving immediately. Essential Functions and Responsibilities Game Day supervisor of home events as assigned by the Athletic Director. CDL required and will be assigned to drive teams to away games. Serve as department transportation coordinator with responsibilities including monthly planning for weekly updates of bus assignments and needed drivers, daily coordination of keys and drivers, maintaining CDL renewals, and coordinating campus field trip bus needs. Maintain vehicles ready for travel, including filling with gas and handling bus cleaning, inspections, repairs and oil changes when needed. Maintain all athletic facilities and vehicles with respect and care. Prepare each facility for home games on game days. Summer responsibilities can include supporting summer clinics, athletic camps and/or team workout needs for facilities and logistics as well as meeting summer fields, facilities, and bus maintenance needs. Support Athletic Director/trainers as needed for summer Magnus system student athlete forms review and processing (responsibility owned by Athletic Director). In cooperation with administrators on duty, determine when the inclement weather policy will be invoked. Alert visiting teams and officials of our inclement weather policy and provide instructions in the event of inclement weather. Support and follow athletic department and school security protocols in partnership with the campus security director. Support Booster Club volunteers by opening/closing the concession stand(s) as needed and providing/collecting the cash boxes before/after games. Deliver programs to site as needed. Assist announcers with pre-game duties as necessary. (e.g. playing the national anthem) Welcome visiting teams (coaches and personnel), providing necessary bus parking and other pre-game information. Ensure all constituents at games and using athletic facilities follow proper safety guidelines. Coordinate shipping/receiving of athletic supplies and distribute shipments to the appropriate locations. Other duties as assigned by Athletic Director or Head of School. Physical Requirements While performing the duties of this job, the individual in this role is frequently required to walk, use hands to finger, handle, or feel; reach with hands and arms, and lift heavy objects. The staff member is also required to stand, sit, climb or balance, stoop, kneel, crouch, crawl, talk, and hear. Specific vision abilities required by this job include close vision, color vision, peripheral vision, and depth perception. Individuals in this role also need to be able to lift at least 50 pounds. While performing the duties of this job, the employee is regularly exposed to outside weather conditions and moving mechanical parts. The employee is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, cold, heat, risk of electrical shock, and vibration. The noise level in the work environment can be moderate to loud. Qualifications Committed follower of Jesus Christ reflecting a desire to serve Him and others in work and life. At least one year of responsible experience in athletic facility maintenance or coaching A high school diploma and knowledge of facility and vehicle maintenance A valid driver's license is necessary and ability to obtain proper CDL license Technological skills appropriate for the administrative components of the role including the ability to use Microsoft Outlook, Excel, and Word. General maintenance skills including painting and minor repairs. Knowledge of the principles and practices of proper facility maintenance.
