Executive Assistant Provides high-level administrative support to three VPs (HR, Chief of Staff, Compliance & Privacy) in a fast-paced, team-oriented environment. This role is heavily focused on calendar management and agenda preparation, requiring someone who is organized and able to anticipate executive needs. The ideal candidate will build strong relationships with each VP, understand their individual priorities, and become a dependable extension of their work. Schedule: M-F 7.30AM-4PM Responsibilities: Act as intermediary for three executives screen and respond to calls and correspondence, compose confidential memos, reports, and presentation materials. Manage heavy calendars; coordinate meetings, travel, and conferences; prepare agendas and background materials; write minutes and drive follow-up. Apply in-depth knowledge of institutional policies to anticipate executive needs, facilitate problem resolution, and make decisions within authorized scope. Maintain confidential filing systems per departmental and Joint Commission standards; manage office supplies and equipment contracts. Identify cost-saving opportunities on supplies and equipment contracts; assist with coordination of special events. Review, summarize, and prioritize incoming correspondence; independently handle items that don't require executive attention. Education & Experience: High School Diploma or GED required; Associate Degree preferred. Minimum five years of progressive administrative experience, including executive-level support. HR background a plus. Background in business, professional, or healthcare environment required; familiarity with medical terminology a plus. Knowledge, Skills & Abilities: Advanced proficiency in Microsoft Office Suite, particularly Excel and Outlook; strong typing and data entry skills. Exceptional organizational skills with the ability to manage competing priorities and deadlines across multiple executives. Strong verbal, written, and interpersonal communication skills; ability to build effective relationships at all levels. Ability to handle sensitive information with discretion and maintain strict confidentiality. Collaborative team player with a positive attitude and strong work ethic no job hopping.
