Onboarding Coordinator Reports To: Director of People Operations FLSA Status: Non-Exempt, Hourly This is a time, temporary role. Pay Range: $20-$23/hour Location: Great Hearts America Home Office (Phoenix) The People Systems Team owns the configuration, maintenance, integration, troubleshooting, and reporting for People Teams systems, including the ATS, HRIS, LMS, and file management systems. Centralized systems ownership positions our best systems-minded experts to evaluate, maintain, and perfect our systems and workflows. There are no single-system experts on this team: we are made up of systems rockstarspeople who live and breathe People systems and for whom learning a new system is old hat. We are champions of efficiency and sustainability for all users, advocates for user experience, and we get excited about opportunities to create better workflows and provide excellent customer service. All People Systems team members are curious and tenacious problem solvers who can balance and prioritize immediate needs with long-term requirements. The People Ops Coordinator is responsible for supporting and continuously improving the administrative work in the People team, which directly improves the employee experience and enables other members of the People Team provide better service. This individual supports administrative tasks across the entire team, ranging from filing and data-entry to fielding employee inquiries and coordinating people team efforts. The People Operations Coordinator must be highly organized with excellent interpersonal skills, have a strong inclination for action, and be focused on creating a positive experience. Responsibilities Support people team operations through employee onboarding, employee data entry, employee status changes, offer letter creation, candidate travel reimbursement, etc. Manage and ensure clean, accurate file storage and retention in multiple systems. Answer and resolve employee inquiries related to People Operations systems Conduct systems data audits in Excel to ensure accuracy Support report occasional requests as needed from the People Operations team, including but not limited to: scheduling, account reconciliation, travel coordination, meeting notes, etc. Minimum Qualifications Associate's Degree 1+ years of progressive experience in Human Resources 2+ years experience using Microsoft Office, with a strong knowledge of Excel Flexible thinker, able to effectively learn, adapt, and prioritize quickly Ability to thrive in an academic and entrepreneurial culture, interacting with all levels of management, staff, and stakeholders Detail-oriented with strong organization and time management skills Ability to work with minimal daily supervision, managing multiple priorities Demonstrated history of integrity and ability to handle confidential and/or sensitive data Additional Requirements Type of fingerprint clearance: Must possess or obtain valid Arizona Department of Public Safety Level One IVP fingerprint clearance card. Physical functions: Must be able to remain in a stationary (standing or sitting) position for 75%-100% of the time. Equipment used: Frequent computer use is expected. Work Environment: May be required to move or position equipment up to 10-15 pounds. Travel required: Limited local travel to lead office and various academies within the Phoenix metro area.
