Operations Specialist Lead with purpose. Partner with impact. The Operations Specialist supports the firm's day-to-day operations while providing administrative coordination for select members of the executive team. This role helps ensure internal processes run efficiently, operational tasks are completed accurately and on time, and leadership schedules and logistics are managed effectively. The Operations Specialist also assists with HR-related administrative tasks, maintains a high level of confidentiality, and provides oversight and guidance to the Operations Assistant to ensure operational and administrative responsibilities are completed effectively. What you'll do: Assist with day-to-day operational workflows to ensure tasks and internal initiatives are completed efficiently. Maintain and update internal processes, documentation, and compliance logs. Support the implementation and maintenance of firm technology platforms such as CRM and document management systems. Assist with company reporting, including data entry, tracking, and report preparation. Assist with HR-related administrative tasks including documentation, record tracking, and coordination of internal HR processes. Support onboarding logistics and internal HR communications as needed. Manage internal task queues and administrative requests to ensure timely completion. Assist with monthly and quarterly firm processes, including meeting coordination and operational support tasks. Coordinate internal company events, client events, and other firm activities as needed. Track team member licenses, designations, and continuing education requirements. Oversee and/or maintain the client gift log and coordinate ordering and delivery of client gifts or event materials. Manage calendars and scheduling for select members of the executive team. Coordinate internal and external meetings and assist with meeting preparation as needed. Provide administrative support to leadership, including occasional personal scheduling or logistics support. Provide guidance and task oversight for the Operations Assistant to ensure administrative and operational responsibilities are completed effectively. Assist with special projects and additional tasks as assigned. What you bring: Strong organizational and time management skills with the ability to manage multiple priorities. Excellent attention to detail and follow-through. Strong written and verbal communication skills. Ability to work collaboratively while managing tasks independently. High level of discretion and professionalism when handling sensitive information.
