Project Specialist The Project Specialist serves as a key member of the team, providing foundational support across various functions. Responsibilities include monitoring opportunities using Excel and CRM software, organizing meetings with both internal and external collaborators, drafting and preparing programs and proposals, documenting and optimizing processes, overseeing RFP submission portals, managing SharePoint sites and the archiving of files, and handling other relevant tasks as assigned. Duties and Responsibilities Analyze Requests for Proposals (RFPs), Requests for Quotes (RFQs), ID/IQ Task Orders, and Requests for Information (RFIs) and provide concise summaries. Manage all RFP portal submissions and communications, including completing and uploading required documentation and client correspondence, with guidance and support from company leadership. Handle registration for new client portals. Participate in team check-ins, take meeting notes, update tracking systems, and monitor progress on action items. Proofread and edit proposal text and other materials for grammar, spelling, comprehension, and style. Also review and edit existing project summaries, personnel resumes, and supporting documents. Communicate proposal information with external clients and partners, and coordinate follow-up actions as needed. Become thoroughly knowledgeable about the full range of SEEL products and services to effectively represent the organization. Participate in brainstorming and ideation sessions to enhance programs and internal processes. Arrange meetings with potential partners to help expand SEEL's business or grow existing programs, and assist in the signing of NDAs and Teaming Agreements with the Compliance team. Document and share learnings from both successes and challenges with implementation teams. Monitor project deliverables and provide follow-up, cross-functional collaboration, and other support to ensure timely completion. Ensure proper archiving of proposal documents in SharePoint. Attend all internal meetings related to proposal development (such as Go No Go, Design, and Budget Meetings), take notes, and distribute action items to the broader team. Participate in webinars and other learning opportunities to connect staff with educational and professional development resources. Conduct research on new technologies, grants, RFPs, and other topics to enhance staff knowledge and awareness. Perform other administrative and project support duties as required. Qualifications Demonstrated ability to independently manage and execute projects as a self-starter. Strong organizational and time management skills. Skill in reading large documents and producing concise summaries. Ability to collaborate effectively with colleagues at all levels, including executives. Flexibility and adaptability to succeed in a fast-paced environment. Excellent attention to detail. Proficiency with Microsoft Office applications, including Word, PowerPoint, Excel, Outlook, and Visio. Experience working with diverse backgrounds or interest in diversity, equity, and inclusion. Customer service skills to ensure positive experiences for internal and external stakeholders. Experience with Excel and/or CRM software is highly preferred. Strong written and oral communication skills are preferred. Knowledge of energy efficiency is preferred, but a willingness and enthusiasm to learn is also valued. Experience with Customer Relationship Management Software is preferred. Ability to prioritize tasks and meet established goals and deadlines.
